Real Estate Paralegal

Amy V. Cofield, Attorney-at-Law is seeking a detail-oriented and highly organized Real Estate Paralegal to support residential real estate transactions from contract inception through post-closing activities. The ideal candidate has experience independently managing multiple closing files simultaneously, communicating effectively with clients, industry professionals, and firm staff, and ensuring every transaction is completed in a professional, accurate, efficient, and timely manner.

Key Responsibilities

Real Estate Closing Management

- Open, organize, and manage real estate closing files from intake through post-closing.

- Maintain accurate file records, checklists, timelines, and transaction milestones.

- Monitor critical deadlines and ensure all closing requirements are met in a timely manner.

Title Review & Due Diligence

- Coordinate title searches and examinations.

- Order and review title commitments, surveys, tax certifications, HOA estoppels, and lien or judgment searches.

- Identify title defects, curative issues, and other matters requiring attorney review.

Transaction Coordination

- Serve as a primary point of contact for buyers, sellers, real estate agents, lenders, and title underwriters.

- Coordinate the collection of required documents and information from all parties.

- Obtain and review loan packages, lender instructions, and closing requirements.

Document Preparation

- Prepare routine closing documents for attorney review, including deeds, affidavits, borrower documents, seller documents, and lender-required forms.

- Ensure all documentation is accurate and complete prior to closing.

Settlement Statements & Closing Figures

- Prepare and reconcile Closing Disclosures (CDs), ALTA Settlement Statements, and related closing documents.

- Verify the accuracy of all fees, prorations, payoffs, and lender figures.

- Coordinate final approvals and closing numbers with all parties.

Payoffs & Disbursements

- Order and verify mortgage, tax, HOA, and other payoff statements.

- Prepare checks, wires, and disbursement packages in accordance with trust accounting procedures and firm policies.

Closing & Post-Closing Activities

- Schedule closings and coordinate signing logistics, including remote and mail-away closings.

- Record all necessary closing documents and monitor recording confirmations.

- Prepare final title policies and closing packages for delivery to clients, lenders, and other parties.

- Complete all post-closing requirements and file closeout procedures.

Compliance & Client Service

- Maintain strict confidentiality and protect sensitive client information.

- Ensure compliance with firm policies, lender requirements, title underwriting standards, and applicable laws and regulations.

- Provide exceptional customer service through timely, professional, and courteous communication.

- Escalate legal questions and complex issues to the attorney as appropriate.

Technology & Process Improvement

- Maintain accurate data entry and electronic file management.

- Utilize firm-approved software and technology platforms to manage transactions efficiently, including Microsoft Office, Qualia, and Clio.

- Identify opportunities to improve processes and enhance the client experience.

Required Qualifications

- Minimum of 5 years of experience managing residential real estate closings from contract inception through post-closing activities.

- Demonstrated ability to independently manage a high-volume real estate closing caseload.
