Job Summary:
The Admin Executive Is Responsible for Providing Comprehensive Administrative Support to Ensure Efficient Operation of the Office. This Role Involves Managing Day-To-Day Administrative Tasks, Coordinating with Various Departments, Maintaining Office Facilities, and Assisting in HR, Procurement, and Vendor Management Activities.
Key Responsibilities:
Office Management:
Oversee Daily Administrative Operations and Ensure Smooth Office Functioning.
Maintain Inventory of Office Supplies and Ensure Timely Replenishment.
Supervise Housekeeping, Security, and Maintenance Staff.
Ensure Cleanliness, Safety, and Orderliness of the Workplace.
Vendor & Procurement Management:
Identify and Negotiate with Vendors for Office Supplies, Maintenance Services, and Equipment.
Process Purchase Orders, Quotations, and Invoices in Coordination with the Finance Team.
Maintain Vendor Contracts and Service Agreements.
Travel & Logistics:
Coordinate Travel Arrangements, Hotel Bookings, and Transportation for Employees and Guests.
Organize Company Events, Meetings, and Conferences.
Record Keeping & Documentation:
Maintain Proper Filing Systems (Both Digital and Physical) for Administrative Documents.
Handle Incoming and Outgoing Correspondence, Couriers, and Communication with Stakeholders.
Support to HR & Management:
Assist in Onboarding Activities for New Employees (Desk Setup, ID Cards, Access, Etc.).
Support HR in Organizing Employee Engagement Activities and Maintaining Attendance Records.
Provide General Support to Management and Staff as Required.
Compliance & Reporting:
Ensure Adherence to Company Policies, Safety Procedures, and Statutory Requirements.
Prepare Periodic Reports on Administrative Expenses and Office Operations.
Qualifications & Skills:
Education: Bachelor's Degree in Business Administration, Management, or a Related Field.
Experience: 2–5 Years of Experience in Administration, Office Management, or Similar Roles.
Skills Required:
Excellent Communication and Interpersonal Skills.
Strong Organizational and Multitasking Abilities.
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
Attention to Detail and Problem-Solving Skills.
Ability to Handle Confidential Information with Integrity.
