Job Overview:
The Admin Executive will be an integral part of our team, ensuring smooth day-to-day operations of the office and supporting various administrative functions. This role requires a proactive, organized individual who thrives in a dynamic environment. The Admin Executive will assist with office management, employee support, communication, and other administrative tasks to maintain an efficient and productive work setting.
Key Responsibilities:
Office Management:
Oversee daily office operations, ensuring the workspace is organized, clean, and conducive to productivity.
Manage office supplies and equipment, maintaining inventory and liaising with vendors for replenishment.
Coordinate maintenance and repairs for office facilities, managing relationships with service providers.
Handle incoming and outgoing mail, packages, and ensure proper distribution to relevant teams.
Administrative Support:
Provide general administrative support to senior management and department heads as needed.
Serve as the first point of contact for visitors, phone calls, and general inquiries.
Coordinate internal communication, announcements, and organizational updates.
Maintain and organize office files, documents, and templates.
Communication & Coordination:
Assist with internal and external communication, ensuring accurate information is conveyed to relevant stakeholders.
Manage scheduling and calendar coordination for meetings, events, and appointments.
Prepare reports, presentations, and other documents as needed.
Employee Engagement & Welfare:
Assist in organizing team-building activities, company events, and employee engagement initiatives.
Support initiatives that promote a positive work environment and employee well-being.
Act as a point of contact for employees regarding office-related queries or concerns.
Required Qualifications & Skills:
Education: Bachelor's degree in Business Administration, Management, or a related field.
Experience: 6 months to 1 year of experience in administrative roles, with exposure to office management or similar responsibilities.
Skills:
Strong organizational and multitasking abilities.
Excellent communication skills, both written and verbal.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Ability to handle confidential information with discretion.
Strong attention to detail and ability to prioritize tasks effectively.
Proactive approach to problem-solving and task management.
