We're Hiring: Executive Assistant to the CEO


Location: Chilliwack, BC

Hours: Full-time for the right applicant.

Availability: Monday-Friday

Wage: $22-25, with higher rates for candidates with relevant experience & skills


About the Position

Optimize Organics is a fast-growing, purpose-driven company developing biologically rich soils, reducing pesticide use through beneficial insects, and providing high-quality organic inputs that help growers produce abundant, healthy crops. As we expand, we’re looking for a sharp, reliable Executive Assistant to join our team. This role works closely with our CEO and plays a crucial part in maintaining day-to-day operations smoothly. For the right person, there are numerous opportunities to grow within the company and assume additional responsibilities over time. Key Responsibilities
  • Assist the CEO with daily administrative and operational tasks
  • Manage orders: data entry, tracking, and customer communication
  • Handle email correspondence and customer inquiries
  • Submit and track soil and lab samples
  • Print and organize product labels for the production team
  • Maintain and update inventory records
  • Request and compare freight and courier quotes
  • Enter manual orders and generate quotes in Shopify
  • Monitor social media and respond to basic inquiries
  • Support general admin tasks and ongoing data entry
  • Integrate AI tools into existing business practices.

  • Fluent in English (spoken and written)

  • Tech-savvy and comfortable with various software and learning new tools
  • Excited about learning new AI tools
  • A strong communicator who follows through on commitments
  • Proactive in solving problems and streamlining daily operations
  • Trustworthy and capable of handling confidential information with discretion
  • Able to manage calendars, schedule meetings, and support small project coordination
  • Independent, adaptable, and comfortable in a fast-moving, hands-on environment


Bonus Skills (Assets)
  • Experience in AI tools, integrations, and business automation workflows
  • Experience in small business operations, warehousing, production, or logistics
  • Familiarity with Apple operating systems and software, including: Shopify, QuickBooks, Adobe Photoshop/Illustrator, Google Sheets, and Excel
  • Understanding of SEO and digital marketing tools
