Our client is looking for a high-performing Executive Assistant to bring order, structure, and calm to a fast-moving legal environment.
You'll act as his operational right hand—streamlining his day, managing outreach, and holding him accountable to priorities that drive business growth and client impact. Qualifications
Must-Haves
5+ years of executive-level support experience — ideally with C-suite leaders, founders, and startup companies.
- Exceptionally organized and detail-oriented — thrives on systems, structure, and precision.
- Strong written and verbal communication skills — articulate, polished, and able to represent the executive professionally.
- Proactive problem-solver — anticipates needs, takes initiative, and always stays two steps ahead.
- Confident yet teachable — assertive communicator who welcomes feedback and growth.
High integrity & confidentiality — trusted with sensitive legal, financial, and personal information.
Nice-to-Haves (Not Required but a Huge Plus)
Background in law, insurance, or professional services — familiarity with case workflows or legal operations.
- Experience with podcast management or LinkedIn outreach.
Responsibilities Of The Executive Assistant
Your responsibilities include:
Executive Support & Time Management
Structure and organize the executive's daily schedule to maximize focus and productivity
- Hold the executive accountable to daily goals, outreach targets, and task completion
- Lead morning prep meetings (around 8 AM ET) to align priorities and calendar updates
- Manage reminders, time blocks, and recurring check-ins for strategic follow-through
Track follow-ups and ensure no important task or opportunity slips through the cracks
Inbox & Communication Management
Manage multiple inboxes (law firm and insurance agency) under a "zero inbox" goal
- Filter, sort, and organize high-volume emails; unsubscribe from irrelevant promotions
- Draft professional messages and, once trained, respond on behalf of the executive
- Flag urgent emails requiring immediate attention and maintain clear communication logs
Implement and maintain organized email systems for faster responses and task tracking
Outreach, Referrals & Relationship Building
Support outreach campaigns targeting attorneys and referral partners
- Maintain structured databases of 500–600 contacts with accurate details and segmentation
- Research contact backgrounds, social media profiles, and engagement points for calls booked with the executive
- Manage LinkedIn campaigns—managing connections, responding to messages, and scheduling calls
- Track outreach metrics, follow-ups, and referral conversions through spreadsheets or CRMs
Coordinate the preparation and sending of referral gift packs and appreciation mailers
Podcast Management & Meeting Support
Handle all podcast guest logistics: scheduling, data collection, and confirmation emails
- Send pre-interview agendas and post-interview thank-you messages
- Manage digital assets such as bios, headshots, and recordings for each guest
- Take or organize meeting notes via AI tools, summarizing follow-ups and next steps
Maintain a clear structure for podcast and meeting documentation
Reporting & Systems Management
Maintain spreadsheets, CRMs, and dashboards for outreach, leads, and performance metrics
- Prepare weekly reports summarizing calls, meetings, conversions, and referral data
- Pull and summarize data from QuickBooks or CRMs using AI tools for insights
Maintain clean data systems and structured documentation across business tools
Marketing Support (Nice-to-Have)
Repurpose podcast clips into blog posts, newsletters, or social media content
- Support the setup and management of social media calendars and scheduling tools (e.g., Metricool)
Coordinate with external marketing partners or agencies on copy, campaigns, or newsletters
AI & Creative Support (Nice-to-Have)
Use AI tools (ChatGPT, Descript, or similar) to transcribe, summarize, or generate content
- Convert podcast transcripts into written materials, blog drafts, or book outlines
- Utilize AI to streamline reporting, content repurposing, and data organization
