Position Overview
As a Payroll and Rostering Clerk , you will be a cornerstone of Hyegrove's & Hyecare's operations, ensuring our workforce is supported through seamless payroll and rostering processes. Reporting to the Chief Executive Officer (CEO) and working closely with the Chief Financial Officer (CFO) and silo managers, you will manage payroll systems, coordinate rosters for clinical, care, hotel, and admin teams, and ensure compliance with organisational and legislative standards. This full-time role splits responsibilities between payroll and rostering, offering a dynamic opportunity to drive efficiency and support Hyegrove's & Hyecare's mission.
Key Responsibilities
- Payroll Management: Administer payroll systems and processes, ensuring accurate and timely payments for the entire workforce while collaborating with the finance team on prudential requirements.
- Rostering Coordination: Develop fortnightly rosters in collaboration with silo managers, incorporating recommendations from RN Clinical Leaders to meet clinical care needs, skill mix, and acuity requirements.
- Compliance and Reporting: Maintain compliance with WHS, risk management, and legislative standards; prepare CGRT monthly reports for the board; and update the Quality Document Management System (QDMS).
- Stakeholder Engagement: Communicate effectively with clinical teams, silo managers, and the CGRT to provide guidance on payroll and rostering systems, fostering a collaborative and respectful workplace.
- Continuous Improvement: Actively participate in audits, policy development, and process improvements to enhance service delivery and care practices.
- Leadership and Support: Lead the development of roster templates, guide silo managers on compliance deadlines, and promote a feedback-driven culture to achieve organisational outcomes.
What We’re Looking For
- Proven experience in payroll administration and rostering, preferably in a healthcare shift setting.
- Strong proficiency in Microsoft applications (Excel, Word) and report writing for corporate documentation.
- Exceptional verbal, written, and interpersonal communication skills, with the ability to engage clinical teams and stakeholders.
- High-level organisational and time management skills, with a demonstrated ability to prioritise tasks and meet deadlines.
- Strong problem-solving and decision-making aptitude, with a focus on compliance and risk management.
- Knowledge of WHS policies, legislative standards, and quality accreditation processes.
- Ability to lead and direct staff on payroll and rostering systems while fostering a respectful workplace.
- Mandatory Requirements: Current Police Check, ASIC Check, and Statutory Declaration.
