The Full Time Scheduler Specialist is responsible for effective service delivery to clients, guiding, and directing Caregivers' schedules. The Scheduler will assist with the assignment of appropriate staff to clients, schedule client services, identify problem situations, and assist in problem-solving to strive for optimum outcomes.

Primarily performs clerical/scheduling activities that facilitate agency operations. These activities include coordination of employee schedules with client wants/needs, processing intake information and communication with referral sources, hiring and continued employment decisions of employees in accordance with client schedules and needs.

Provides backup direct care support, coordinates, monitors, and revises in-service and orientation needs.

Greets visitors, receives incoming telephone calls and fax transmissions as delegated or needed. Transfer calls and faxes appropriately. Maintain a welcoming and clean environment.

Reports to: Branch Clinical Director, Administrator and Director of Operations Supervises: HHA's, PCA's, Homemakers, RNs, and LPNs.

Responsibilities Include:

  • Answering incoming calls
  • Conducts Phone Intakes for Clients, and Veterans.
  • Creates and maintains caregivers' and client's schedules. Schedule client appointments/visits according to care plans and staff availability.
  • Contact care providers and clients regarding day-to-day changes.
  • Discerns client services required as outlined in agreements, urgent requests, and care plans.
  • Enters clients' and veteran's information into database and ensures information is accurate and up to date.
  • Point of contact for Long Term Care Insurance Clients.
  • Performs general office duties including but not limited to word processing, photocopies, files, shreds, sort/distributes mail, provides reception and telephone services.
  • Assist in keeping client and employee files in compliance with EJAI and AHCA guidelines.
  • Takes calls after hours and on weekends to handle emergencies, scheduling issues, and client referrals and intakes.
  • Quality assurance, contact caregivers and new clients routinely.

Qualifications:

  • H.S. Diploma or GED. Associate Degree Preferred.
  • SCHEDULING EXPERIENCE FROM HOME CARE AGENCY A MUST
  • A passion to see seniors and those in need experience the best quality of life.
  • Excellent Interpersonal, organizational, and communication skills.
  • Prior scheduling experience NEEDED.
  • Computer skills including but not limited to MS Office, MS Excel, and scheduling software.
  • Basic medical terminology.
  • Previous HHA or CNA experience preferred (not required)
  • Ability to work independently.
  • Sense of urgency
  • Multi-task and effectively deal with the demands of the job.
  • Weekend coverage as needed.
