Job Description
Administrative Assistant
1 month contract potential for extension
TORONTO- ONSITE
$20-23 Hourly
- Provides daily administrative and function-specific support to the Manager or Director
- Ensures timely and consistent execution of tasks to support departmental goals
- Plays a key role in maintaining smooth office operations and communication
- Handles photocopying, faxing, mail distribution, and courier coordination
- Maintains office supplies and monitors inventory levels
- Responds to inquiries and coordinates with internal and external contacts
- Creates, formats, and distributes business documents and spreadsheets
- Maintains organized systems for documentation and reporting
- Updates websites and virtual portals as needed
- Conducts data searches and organizes information for easy access
- Prepares PowerPoint presentations and marketing materials
- Maintains mailing and distribution lists
- Manages document archiving and retrieval
- Inputs and maintains data in company systems and platforms
- Ensures data accuracy and compliance with policies
- Maintains tracking systems for departmental activities
- Codes invoices and prepares purchase orders
- Coordinates with Accounts Payable for timely processing
- Manages petty cash and reconciles impress accounts if applicable
- Handles bank deposits and prepares expense reports
- Schedules meetings and appointments
- Arranges travel and accommodations
- Organizes events and internal functions
- Ensures effective communication and coordination across teams
- High school diploma or equivalent (post-secondary education preferred)
- Minimum of 2 years of administrative or office support experience
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Strong organizational and time management skills
- Excellent written and verbal communication
- High attention to detail and ability to handle confidential information
Skills, Knowledge, Experience and Education
- Excellent command of the English language with particular attention to grammar and spelling
- Intermediate to advanced practical knowledge of MS Office Applications
- Solid knowledge of Adobe Acrobat.
