- Minimum of two years experience as an administrative assistant.
- Proficient in Microsoft Office Suite, including Word, Outlook, and Excel.
- Experience working in a complex work environment such as a university, school, business, agency, or similar environment.
- Strong customer service skills in interacting courteously and confidentially with others when answering phones and in person.
- Ability to take initiative and work independently under moderate to little supervision on complex tasks and assignments.
- Experience with assisting and/or coordination with meeting and event planning.
- Experience working as a team member and interacting with colleagues in a courteous manner.
- Experience working in higher education at a college or university.
- Experience working at Texas State University and understanding of TXST policies and procedures.
- Experience with TXST programs including SAP, Concur, AIM, Banner, CourseLeaf, 25Live, Slate, and Canvas.
- Exceptional organizational abilities with a high level of attention to detail.
- Skilled in preparing clear, concise and grammatically correct correspondence, documents, and spreadsheets.
- Ability to multitask to meet deadlines while coping with frequent interruptions.
Job Duties The Administrative Assistant II provides administrative support through the following duties to students, faculty, and staff in the department.
- Create a welcoming environment for programs and greet students, faculty, and visitors to the office. Respond to incoming phone calls and emails for the programs. Provide guidance or referrals to students, faculty, and visitors, as needed.
- Make purchases for the programs and department, process reimbursements, and submit forms and payments for independent contractors in a timely manner.
Ensure that expenses and receipts are sufficiently tracked, submitted, and reconciled according to university procedures.
- Reserve rooms and assist with faculty meetings, department, and program events as needed.
- Enter course registration, scheduling, and room reservation information for upcoming semesters. Make changes to course information, as needed. Process override requests with appropriate approval from program faculty.
- Provide information to prospective students about admissions, registration, override requests, and basic program-related information.
When needed contact non-registered students to increase registration. Support programs in admissions procedures.
- Prepare travel requests, mileage reimbursement, and expense reports for students, faculty, and staff. Ensure student and faculty travel spreadsheets are accurate and complete on a weekly basis.
Support faculty candidates by making travel, transportation, and lodging arrangements.
- Develop partnerships with university and community contacts so you can more effectively complete administrative tasks. Send partnership agreements as needed to identified stakeholders and track signatures for prompt completion.
