Role Description This full-time, on-site Bilingual Administrative Assistant with Bookkeeping Skills role is located in the Greater Vancouver Metropolitan Area. The person in this position will manage day-to-day administrative tasks, including answering and directing phone calls, responding to emails, greeting visitors, and maintaining organized digital and physical files. They will provide executive administrative support, such as scheduling meetings, coordinating calendars, preparing basic reports, and assisting with document preparation in two languages.
The role includes basic bookkeeping support, such as data entry for accounts payable and receivable, invoice tracking, and maintaining accurate records in coordination with accounting staff. The Administrative Assistant will help support smooth office operations, liaise with clients and vendors, and ensure professional, timely communication. They will collaborate closely with management and field teams to handle requests, follow up on outstanding items, and uphold company standards.
Qualifications
- Strong administrative support skills, including Administrative Assistance, Executive Administrative Assistance, and Clerical Skills.
- Excellent communication abilities, including clear written and verbal Communication and professional Phone Etiquette.
- Proficiency in bookkeeping fundamentals (e.g., data entry for invoices, receipts, and payments) and comfort working with spreadsheets or accounting software.
- Bilingual fluency (spoken and written) in English and Spanish
- Proficient with common office software (e.g., MS Office or Google Workspace) and capable of learning new digital tools quickly.
- Strong organizational, time management, and multitasking skills with attention to detail and accuracy.
- Ability to maintain confidentiality, handle sensitive information, and interact professionally with clients, vendors, and colleagues.
- Previous experience in an office, administrative, or customer service role; experience in facilities, janitorial, or service-based businesses is an asset.
