Job Summary
We are seeking a strategic and results-driven Business Manager to oversee and drive operationalexcellence across our organization.The ideal candidate will have a strong foundation in business management, with a cross-functionalunderstanding of professional service practices,KPI and performance metrics, finance, and core business operations.This role requires a blend of analytical thinking, leadership, and business acumen to aligndepartmental goals with broader organizational strategy.
Key Responsibilities
Cross-Functional Team Leadership
- Lead and support teams across Project Management, Implementation, Product,Documentation, and Development to ensure alignment, execution, and operationalexcellence.
- Foster interdepartmental collaboration and ensure clear communication across teams.
- Provide guidance and coaching to team leads and supervisors.
Project & Delivery Oversight
- Oversee delivery of client and internal projects, ensuring scope, timelines, and qualitystandards are met.
- Implement and refine project governance and delivery frameworks (e.g., Agile,Waterfall).
- Track project KPIs, risks, and resource allocation.
Strategic Planning & Performance Metrics
- Develop and track key performance indicators (KPIs) aligned with business goals.
- Identify process improvements and lead strategic initiatives to improve delivery,efficiency, and customer outcomes.
- Support quarterly and annual planning cycles, resource forecasting, and performancereviews.
HR & People Operations
- Partner with HR on team structure planning, recruitment, performance management, andtalent development.
- Help define roles, set individual and team KPIs, and support leadership in performancereviews and development plans.
Finance & Budget Support
- Collaborate with finance on budgeting, tracking departmental spend, and optimizingcost-efficiency.
- Monitor team utilization rates, project profitability, and revenue contribution ofservice functions.
- Work closely with Sales and Customer Success to align scope, delivery capacity, andexpectations.
- Support pre-sales activities such as proposal development, resource estimation, andtransition planning.
- Ensure strong feedback loops between clients, delivery, and product teams.
Administrative Oversight
- Manage and streamline day-to-day administrative operations to ensure smooth internalworkflows and adherence to company policies.
- Oversee office facilities management, procurement, vendor relationships, and generaladministrative support services.
- Maintain and update internal documentation, procedures, and records to ensureorganizational compliance and readiness
IT Infrastructure and Systems Support
- Oversee the company's IT infrastructure, ensuring systems are secure, reliable, andscalable to support business needs.
- Coordinate with internal IT teams or external providers for hardware and softwareprocurement, license renewals, asset management, and troubleshooting support.
- Develop and maintain IT policies (e.g., acceptable use, data security, backup, accesscontrol) and ensure compliance across departments.
Insurance Monitoring and Risk Management
- Monitor and maintain all company insurance policies, including but not limited togeneral liability, professional liability, cyber liability, and property insurance.
- Liaise with brokers and insurers for renewals, claims management, and policyadjustments.
- Ensure all employees and assets (e.g., laptops, equipment) are properly covered anddocumented.
- Track coverage limits and alert management of upcoming renewals or compliancerequirements.
Vendor and Contract Management
- Negotiate and manage contracts with service providers, including IT vendors, officesuppliers, insurance brokers, and facility maintenance providers.
- Monitor service level agreements (SLAs) and ensure vendor performance meets operationalstandards.
Qualifications
Education
- Bachelor’s degree in Business Administration, Management, Finance, or a related field. AMaster’s degree or MBA is a plus.
Experience
- A minimum of 5 years of experience in business management, operations, or a comparablerole is required, ideally within a professional services and/or SaaS environment.
- Strong understanding of financial statements, budgeting, and performance metrics.
- Demonstrated track record of improving processes, reducing costs, and enhancing overallbusiness performance.
Skills
- Excellent leadership, communication, and interpersonal skills.
- Proficient with software tools for financial reporting, project management, andcommunication.
- Ability to manage multiple priorities in a fast-paced environment while maintainingstrong attention to detail.
- Demonstrated critical thinking and problem-solving skills, with an ability to implementprocess improvements effectively.
- Analytical mindset with the ability to solve complex problems and make data-drivendecisions.
- Advanced knowledge of business operations, budgeting, and financial reporting.
- Exceptional verbal and written communication skills, with the ability to articulateexpectations clearly and hold oneself and others accountable.
- Ability to communicate effectively with senior leadership, department managers, andstakeholders, fostering transparency and accountability.
Technical Skills
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and business managementsoftware.
- Experience with CRM, ERP, and/or other business management systems is a plus.
- Proficient in project management software and tools (Smartsheet, Jira and Confluence).
- Proficient using communication tools like Slack and Zoom for team collaboration andvirtual meetings.
Certifications
- Project Management Professional (PMP) or similar certification is a plus
- Lean Six Sigma or other process improvement certifications is a plus
