About the Company
We are pleased to lead the recruitment effort for a private real estate appraisal company located in San Marino, CA. The company is a woman-owned, minority-led real estate appraisal firm with an established client base and a reputation for quality, defensible work. We are growing and need someone who can keep the back office running without being told twice.
The Role
We are looking for a reliable, detail-oriented Executive Assistant to support day-to-day operations across administrative, compliance, client-facing, and operational functions. This is a part-time position with the potential to convert to permanent full-time for the right person.
- Minimum 24 hours/week, maximum 30 hours/week for the first three months.

Real estate appraisal sits at the intersection of law, finance, and property markets. Every mortgage, every estate settlement, every commercial transaction, every eminent domain proceeding depends on it. It is a licensed, regulated profession with real earning potential and a defined career path.
If you are sharp, curious, and willing to learn, this role will expose you to the mechanics of the appraisal industry from the ground up including client intake, property research, file management, engagement letters, compliance, and the day-to-day rhythms of a working appraisal practice. You will not just be supporting the business. You will begin to understand it.

What You Will Be Doing
- Support with client intake/phone calls professionally, - strong phone and email manner required
- Engagement letter drafting and initial property-level research to support bidding process
- Manage file scanning, archiving, and document retention in compliance with legal requirements
- Track ongoing data subscriptions, certain vendor agreements
- Invoice preparation and monitoring outstanding invoices
- Keep compliance documentation current and stand ready for client issuance as needed: DBE certifications, insurance certificates, and related items
- Check and route all incoming mail/email
- Electronic calendar management
- Maintain office supply closet inventory — envelopes, postage, batteries, cables, printer ink/toner, paper, etc.
- Periodic errands for office, or appraisal-related errand (i.e. taking a photograph or obtaining a document from a building department)
- Book travel, hotels, rental cars, restaurants, and parking for site visits — including complex or remote locations. Support with planning occasional special events.
- Periodically monitor and register staff for relevant professional organizations and events to support business development and networking
- Support internship program coordination, scheduling, and ongoing communication
- Coordinate client gifts — sourcing, tracking, and fulfillment
What We Are Looking For
- 2+ years of administrative, office management, or executive support experience
- Strong organizational skills you track details and follow through without being managed
- Proficient in Microsoft Office and Google Workspace
- Comfortable with document scanning, filing systems, and digital archiving
- Professional written and verbal communication skills
- Valid driver's license and reliable transportation (Mileage and costs are reimbursed)
- Real estate or appraisal industry experience is a plus, not a requirement
- Curious, growth-minded, and interested in building real industry knowledge over time
- Clean background, credit, and references if selected.
