Position Summary
The Executive Assistant & Project Manager is responsible for supporting the Chief Executive Officer administratively with the day-to-day management of the corporate office and our restaurant locations globally. This position is responsible for overseeing the coordination, organization, and execution of internal projects and business initiatives across our brand globally.
Key Responsibilities
Executive Support
- Manage CEO’s calendar, scheduling internal and external meetings across multiple restaurant locations and corporate offices.
- Coordinate travel arrangements, itineraries, reservations, and expense reporting.
- Prepare briefing materials, reports, presentations, and meeting agendas.
- Draft and edit correspondence on behalf of the CEO.
- Act as a gatekeeper and liaison between the CEO and internal teams, ownership, vendors, landlords, and external partners.
- Maintain strict confidentiality in handling sensitive business and personnel matters.
Project Management
- Oversee and manage cross-functional projects from initiation through completion (e.g., new restaurant openings, renovations, technology rollouts, vendor transitions, operational initiatives).
- Develop project timelines, track milestones, and ensure accountability across departments (Operations, Culinary, HR, Finance, Marketing).
- Coordinate meetings, capture action items, and follow up to ensure execution.
- Identify risks, propose solutions, and escalate issues appropriately.
- Support strategic planning initiatives and assist in execution of company growth objectives.
Operations & Administrative Oversight
- Assist with budget tracking, invoice approvals, and vendor contract coordination.
- Help standardize internal processes and improve workflow efficiencies.
- Organize executive leadership meetings, board meetings, and company-wide communications.
- Maintain organized digital filing systems and key corporate documentation.
Communication & Leadership Support
- Facilitate communication between corporate leadership and restaurant-level management.
- Prepare internal announcements, reports, and executive summaries.
- Support HR and recruiting initiatives as needed for senior-level hires.
- Represent the CEO and restaurant group with professionalism in all interactions.
- Other tasks as assigned by manager.
Knowledge, Experience and Skills
- 5+ years of experience in executive support, project management, or operations leadership.
- Hospitality, restaurant, or multi-unit experience strongly preferred.
- Bachelor’s degree or equivalent professional experience.
- Strong relationship builder with internal stakeholders, senior leaders, and C-level executives.
- Excellent project management, communication, and problem-solving skills; able to handle multiple priorities.
- Exceptional written and verbal communication skills in English, bilingual a plus.
- Strong financial acumen and comfort reviewing budgets and reports.
- High proficiency in Microsoft Office.
- Ability to exercise discretion and maintain confidentiality.
- Strong problem-solving skills and ability to anticipate needs before they arise.
- Comfortable working both in corporate settings and restaurant environments.
- Ability to work a flexible schedule including days, nights, weekends, and holidays.
- Ability to travel as needed.
Physical Requirements
- Ability to perform essential job functions consistently, safely, and successfully.
- Must be able to lift and carry up to 15 lbs. at times.
- Moving about on foot to accomplish tasks, particularly frequent movements from place to place within the work area and property.
- Bend, lift, carry, reach/extend arms, and hands above shoulder height frequently, or otherwise move in a constantly changing environment.
- Prolonged periods standing or sitting at a desk and working on a computer.
Compensation
- The annual pay range for this position is between $95,000 -$115,000.
- The determination of what a specific employee in this job classification is paid depends on a number of factors, including, but not limited to, prior employment experience, job-related knowledge, qualifications and skills, etc.
