Job Description
We are seeking a highly polished and proactive Executive Assistant to serve as a trusted right hand to the CEO. This individual will play a critical role in optimizing the CEO’s time, managing day-to-day operations, and ensuring seamless execution across both professional and select personal priorities.
This role is ideal for someone who thrives in a fast-paced environment, operates with a high level of discretion, and takes pride in anticipating needs before they arise.
Core Responsibilities
Executive Support
- Own and manage the CEO’s complex calendar, scheduling meetings and ensuring priorities are aligned with business objectives
- Coordinate domestic and international travel, including flights, accommodations, transportation, and detailed itineraries
- Manage executive communications, including inbox oversight, drafting correspondence, and interfacing with internal and external stakeholders
- Prepare the CEO for meetings with thorough briefings, agendas, and background materials
- Track follow-ups and ensure key initiatives and action items are executed efficiently
- Manage expenses and reimbursements with accuracy and timeliness
Strategic & Operational Support
- Act as a gatekeeper and time strategist, ensuring the CEO is focused on highest-impact priorities
- Support coordination across teams by tracking deliverables and maintaining alignment on key initiatives
- Handle sensitive and confidential information with the utmost discretion
- Represent the CEO and organization with professionalism and sound judgment
Personal Support
- Assist with select personal logistics, including calendar management, appointments, and travel coordination
- Manage ad hoc personal tasks such as reservations, errands, and household-related support
- Oversee holiday gifting, including sourcing, ordering, and coordinating delivery
Qualifications
- 3–5+ years of experience supporting a senior executive or CEO
- Strong organizational, multitasking, and problem-solving skills
- Exceptional written and verbal communication abilities
- High level of discretion and ability to manage confidential information
- Proactive, resourceful, and able to operate independentlyProficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook); experience with CRM systems such as Salesforce and Concur is required
