StepOne is looking for a proactive and highly organized HR & Admin Executive to support the daily HR operations and office administration. This role will be responsible for managing employee documentation, coordinating onboarding and offboarding processes, maintaining office operations, and ensuring a positive and well-organized workplace environment.
The ideal candidate is detail-oriented, reliable, and enjoys working across HR operations and office management to ensure the team has everything they need to succeed.
Key ResponsibilitiesHR Operations & Documentation- Maintain and manage all employee documentation and records, including personal files, contracts, and HR documentation.
- Ensure all employee records and HR documentation are accurate, organized, and up to date.
- Assist the HR Manager with HR operations, reporting, and documentation management.
- Maintain internal HR trackers and ensure compliance with internal processes.
- Manage end-to-end onboarding processes, including documentation, joining formalities, and employee induction.
- Coordinate with internal teams to ensure new hires receive required resources, system access, and workspace.
- Manage employee exit processes, including documentation, asset collection, and clearance.
- Ensure smooth day-to-day office operations and workspace management.
- Manage office supplies and inventory, including ordering stationery, equipment, and other office requirements.
- Coordinate with vendors and internal teams to maintain a clean, organized, and functional office environment.
- Supervise and coordinate with office support staff (e.g., office boys, housekeeping).
- Maintain records of company assets assigned to employees (laptops, equipment, etc.).
- Track allocation, returns, and documentation of all company assets.
- Ensure all team members have the tools, equipment, and resources required for their roles.
- Support and organize internal team activities, events, and celebrations such as birthdays, festivals, and company milestones.
- Assist in building a positive and engaging workplace culture.
- Assist the HR Manager with day-to-day HR initiatives and operational tasks.
- Handle general administrative responsibilities and internal coordination.
- Support cross-team coordination and assist with any HR-related operational needs.
- Bachelor’s degree in Human Resources, Business Administration, or related field.
- 1 – 2 years of experience in HR operations, HR administration, or office administration.
- Strong organizational and documentation skills.
- Excellent communication and coordination abilities.
- Proficiency in Google Workspace / MS Office / HR tools.
- Ability to multitask and manage multiple operational responsibilities.
- Experience working in startup or fast-paced environments.
- Strong attention to detail and process management.
Ability to handle confidential information with discretion.
