Role Description
This is a full-time on-site role for an Office Admin & Junior Executive Assistant located in New York, NY. The role involves supporting daily administrative activities, such as scheduling meetings, managing office supplies, organizing files, and assisting with financial records. Responsibilities also include providing affable, general support and efficiently coordinating between teams to ensure smooth office operations.
Qualifications
- 3+ years of experience supporting C-suite or senior executives, preferably in finance, investment, or fast-paced industries
- Someone who is organized, polished, proactive, and personable, while thriving in a multi-tasking
- environment
- Experience in previous executive support roles, office administration, reception, hospitality, or operations
- Proficient in Microsoft Office Suite, Adobe, and travel management software
- Strong Communication skills to effectively interact with team members, stakeholders, and clients.
- Strong organizational skills, attention to detail, and the ability to multi-task in a fast-paced environment.
Responsibilities
Office Management (Daily & Weekly)
- Greet guests, manage check-ins, and assign conference rooms
- Tidy and restock the kitchen, snack areas, and meeting rooms
- Manage mail, shipping, supply orders, and vendor deliveries
- Input facilities/maintenance requests
- Coordinate with external vendors for catering and meetings
- Track office inventory and maintain internal documentation
- Handle incoming calls and general reception duties
- Respond to ad hoc requests and keep the office humming Administrative Support
Administrative Support
- Support scheduling and calendar updates
- Make restaurant and travel reservations
- Coordinate car service and travel itineraries
- Organize receipts, gifting, event registrations, and ad hoc projects as assigned
