About the Company
The Order Operations Specialist is responsible for accurate and timely sales order processing, open order management, and exception resolution in a high-volume distribution environment. This role operates as a back-office function and is primarily internal-facing, with customer email outreach as needed to resolve order, eCommerce portal, or account-related issues. The role supports commercial operations by ensuring order accuracy, managing backlog and exceptions, and coordinating with internal teams to maintain order flow and data integrity.
About the Role
Essential Duties & Responsibilities
- Perform hands-on sales order entry, validation, and transactional posting in SAP ECC and SAP B1
- Manage open orders, including backlog review, cleanup of aging orders, and status reconciliation
- Identify and resolve order exceptions such as missing information, system blocks, pricing, or fulfillment issues within established SOPs and guardrails
- Track order status and follow up on required actions across internal teams
- Provide support for web and eCommerce orders, including: Portal exception orders and system errors Fraud management tool follow-up
- Account synchronization setup and issue resolution
- Manage work through shared inboxes and queues in a continuous-flow environment
- Conduct limited email-based customer outreach for order or account follow-ups as required
- Maintain accurate documentation, status updates, and handoffs
- Use Excel for order tracking, reconciliation, and exception analysis
- Maintain up-to-date knowledge of order processes, systems, and procedures
- Identify recurring issues and document trends for operational improvement
- Other duties as assigned
Qualifications
- Higher Secondary Certificate (HSC), Senior Secondary Certificate (Class XII), or equivalent
Required Skills
- Order Operations / Order Management – Knowledge of sales order lifecycle, transactional processing, and exception handling in a distribution or product-based environment
- SAP Proficiency – Hands-on experience with transactional posting and inquiry/reporting in SAP ECC and/or SAP B1
- Planning / Organizing – Ability to manage workload in a high-volume, continuous-flow environment while meeting SLAs
- Critical Thinking – Uses logic and judgment to resolve order and system exceptions within defined guardrails
- Communication Skills – Strong written and verbal English skills; able to communicate clearly and professionally with internal teams and customers via email
- Attention to Detail – Ensures order accuracy, data integrity, and proper documentation
- Personal Accountability – Takes ownership of assigned work and follows through to resolution
- Teamwork – Works effectively with cross-functional partners and supports shared operational goals
Preferred Skills
- 4–7+ years experience in order management, order operations, or commercial operations
- Hands-on SAP ECC and/or SAP B1 transactional experience required
- Experience in distribution, manufacturing, or product-based environments strongly preferred
- Exposure to customer-facing environments a plus
- Experience supporting eCommerce or web-based order workflows preferred
