Position Overview:
The Project Coordinator supports the site by organizing project activities, tracking progress, coordinating communication, and ensuring tasks are completed on time and within scope. This role is essential for maintaining project structure, documentation, and smooth day‑to‑day operations.
Key Responsibilities:
- Assist the site leaders in planning, scheduling, and coordinating project activities.
- Maintain comprehensive project documentation, reports, and schedules.
- Review incoming customer orders against quote documentation.
- Insure ERP routing matches cost sheet and scheduling.
- Prepare meeting agendas, record minutes, and track action items.
- Serve as a central point of contact for the site team members and our customers.
- Facilitate communication to ensure alignment on deadlines, deliverables, and priorities.
- Coordinate meetings and other project-related events.
- Monitor project progress and update status reports, dashboards, and timelines.
- Track deliverables, budgets, and resource allocation.
- Identify potential issues or delays and escalate them when needed.
- Ensure adherence to site processes, standards, and templates.
- Support quality assurance by reviewing documents, tracking revisions, and verifying requirements.
- Help maintain version control for project documents.
- Coordinate procurement of project materials, tools, or services.
- Assist with change requests, risk logs, and issue tracking.
Competencies:
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Experience with ERP systems (Syteline preferred).
- Ability to read technical data & drawings.
- Proficiency in Microsoft Office (Excel, Word, Outlook, Explorer) and project management tools (MS Project, Planner, Smartsheet, etc.).
- Cloud based file storage systems (Box/Autodesk Vault).
- Ability to work collaboratively in fast-paced environments.
- Attention to detail and strong problem-solving skills.
Education & Experience:
- Minimum 3 years of experience in project management/coordination, administration, or support roles in a manufacturing environment.
- Experience working with cross-functional teams.
- PMP Certification preferred.
