Summary
We are representing a reputable and growing mechanical contractor in San Diego seeking a Project Coordinator to support HVAC and plumbing projects across a range of commercial and institutional markets. This position offers a dynamic opportunity to work closely with Project Managers, field teams, and clients — helping ensure smooth project delivery from start to closeout.
This is a great opportunity for someone with strong administrative and organizational skills who enjoys working in a construction setting and wants to grow within the mechanical trades.
Key Responsibilities
Provide day-to-day project coordination and administrative support to the Project Management team
Maintain project documentation, including RFIs, submittals, meeting minutes, and change orders
Assist with subcontractor communications, scheduling, and compliance tracking
Help prepare and submit project documentation packages including closeout binders and O&M manuals
Coordinate material and equipment deliveries with vendors and field teams
Track project milestones, assist with scheduling updates, and maintain document logs in Procore or similar platforms
Support billing processes, including gathering backup and preparing applications for payment
Help manage safety documentation, jobsite logs, and quality control paperwork
Communicate regularly with internal departments and external stakeholders to ensure project continuity
Qualifications
2+ years of experience in construction administration or project coordination; mechanical or HVAC experience preferred
Familiarity with HVAC or plumbing systems and terminology is a plus
Experience using construction management software such as Procore, Bluebeam, or Microsoft Project
Proficient in Microsoft Office Suite (Word, Excel, Outlook, Teams)
Highly organized and detail-oriented with strong written and verbal communication skills
Ability to support multiple projects simultaneously in a fast-paced environment
Positive, team-first attitude with a willingness to learn and grow
