Job Title: Vice President
Reporting To: Head Operations
Branch: Mumbai
Job Summary/About the Role: The Head of PBM has two key responsibilities
- Accuracy of Policy Documentation – he is responsible for ensuring accuracy, completeness, and timeliness of policy documentation and system data capture across the organization. The role acts as the central quality control function for policy issuance, endorsements, and renewals, ensuring that all policies are checked, validated, and uploaded into systems within defined timelines and quality standards.
- Collections – He is responsible for overseeing the credit management function, ensuring effective management of receivables, and minimizing financial risks for the insurance broking business.
Required Qualifications:
- Graduate (Mandatory)
- Insurance qualifications preferred
Required Experience and Skills:
- 15 – 18 years in Insurance Broking / Insurance Operations including collections
- Strong hands-on experience in policy checking, issuance, or underwriting support
- Connections with key insurance companies
- Leading a team of 20 plus members
- Experience managing policy processing or QC teams preferred
- Strong policy wordings and coverage interpretation capability
- High attention to detail
- Strong system and data orientation
- Process control and monitoring mindset
- Strong coordination and escalation management
Key Responsibilities:
Policy Quality Control
- Review issued policies against placement slips / quotes / client instructions
- Identify and rectify policy errors before system entry
- Follow up on WIP
- Follow up on TOBA
- Maintain QC checklists and policy validation frameworks
Policy Data Management & System Accuracy
- Ensure all policy data is captured accurately in core broking systems
- Monitor daily policy upload timelines and backlog status
- Ensure completeness of data fields required for servicing, claims, and reporting
- Drive data hygiene and standardization across business lines
- Timely brokerage and reward updating in the system
Accounts Receivable Management
- Oversee the end-to-end receivables process, including collections, and reconciliation.
- Prepare and monitor aging reports and ensure timely follow-up on outstanding balances.
- Drive initiatives to reduce Days Sales Outstanding (DSO).
Financial Reporting & Analysis
- Provide regular reports on data in the system, data Not Entered in the System, Unbilled entries in the system
- Provide regular reports on credit performance, cash flow forecasts, and outstanding receivables.
- Develop and present key metrics to senior management, offering insights for strategic decision making.
Timeliness & TAT Governance
- Ensure policies are checked and uploaded within defined TAT
- Track ageing of pending policies and endorsements
- Escalate delays to business and insurer teams where required
- Ensure inputs to concerned team members for enabling timely collections
Error Prevention & Process Improvement
- Analyze recurring policy errors and root causes
- Work with placement, servicing, and insurer teams to reduce rework
- Implement preventive controls and maker-checker frameworks
- Supporting automation and workflow controls in policy processing
Compliance & Audit Support
- Ensure policy documentation meets regulatory and audit standards
- Maintain audit-ready policy records and system trails
- Support internal and external audits relating to policy documentation
Stakeholder Coordination
- Work closely with Sales, Placement, and Servicing Teams
- Support Finance and Claims teams through accurate data capture
- Work closely with account management and sales teams to resolve client disputes and ensure smooth collections.
- Maintain strong relationships with insurers to coordinate premium settlements.
Team Leadership
- Lead PBM quality control and policy processing teams
- Lead the Collections Team to ensure timely collections and high productivity
- Set productivity, accuracy, and TAT benchmarks
- Train teams on policy reading, QC standards and dealing with Insurance Companies while following up for collections.
