The Accounting Clerk supports the Finance & Operations Department by providing accounting and administrative assistance while reporting to the Controller. Key responsibilities include reconciling transactions, managing accounts payable, preparing journal entries in QuickBooks, processing deposits and payments, and assisting with collections and financial reporting. The role also involves maintaining accurate records, supporting budget analysis, and assisting with general administrative tasks.
The Accounting Clerk reports to the Controller, offering accounting and administrative assistance to the Finance & Operations Department.
Role and Responsibilities:
Finance
- Reconciling and coding of all credit card transactions;
- Reconciling Amazon purchases;
- Preparing and entering journal entries into Quickbooks;
- Accounts payable - matching invoices; entering invoices into Quickbooks; acquiring signatures for approval; coding to GL
- Preparing and mailing cheques;
- Assist in ordering and purchasing for staff;
- Processing credit card payments received;
- Processing deposits through RDC system on a daily basis;
- Entering deposits into school payment platform and Quickbooks;
- Assist in collection calls for outstanding receivables;
- Counting and reconciling cash/payments from events and preparing deposits for bank;
- Prepare budget expense analysis;
- Prepare Excel spreadsheets as required;
- Assist in managing administrative paperwork;
- Filing and other general Finance and Accounting duties as required.
Qualifications and Skill Requirements:
- Minimum completion of high school diploma;
- 1-3 years of current relevant office experience, in a school environment (preferred);
- Intermediate Excel skills;
- Ability to perform work, within authorized limits, prescribed by supervisor and/or policy;
- Ability to use courtesy, tact and discretion when dealing with or settling requests, complaints or requests for clarification of information;
- Excellent interpersonal skills, ability to communicate effectively, both orally and in writing;
- Self-motivated, self-directed and flexible, with good organizational and planning skills;
- Ability to interact positively and confidently with staff, students and parents;
- Ability to work as a team member to manage the total office workload and streamline procedures;
- Good understanding and use/application of Business English, spelling, and punctuation;
- Maintains the confidentiality of sensitive information seen or heard;
- Strong ability to use communication technology, word processing, student information systems, database management and spreadsheet programs.
The ideal candidate is detail-oriented, organized, and self-motivated, with 13 years of relevant office experience (preferably in a school setting), intermediate Excel skills, and strong communication abilities. This is a part-time position of approximately 25 hours per week, with flexible scheduling available.
