Accounts Payable Analyst
Summary:
The AP Analyst will provide accounting and administrative support for a construction company, from project startup through final closeout. Ensures all accounting standard operating procedures are followed. Performs activities related to contracts, bonds, insurance, payables, liens, billings, payroll/cost/budget reports and sustainability reporting for the management team.
· Process financial documents in the accounting system to maintain timely, accurate job cost information, including owner and subcontractor change orders, owner billings, budget transfers, subcontractor pay requirements, and A/P invoices by cost code.
· Process purchase order invoices promptly and ensure all supporting documentation is attached, accurate, and approved.
· Collaborate with key stakeholders to prepare monthly owner billings and run projected final cost reports.
· Serve as a liaison between the field and corporate office.
· Process monthly subcontractor pay requisitions, verify all required attachments, and follow up on missing documents to ensure timely payment.
· Serve as the primary point of contact for clients and team members, maintaining clear communication to resolve invoicing and accounts receivable issues.
· Provide general administrative support, including filing, data entry, and document management.
· Assist with preparing proposals, contracts, and invoices for maintenance services as needed.
· Build strong relationships with customers, the design team, subcontractors, suppliers, and user groups that reflect the company’s core values and meet or exceed customer expectations.
· Understand general contractor project cost systems and escalate issues to the Accounting Manager or direct manager.
Education and Experience:
· 2+ years of accounting experience.
· Experience with a general contractor or in the construction industry is a plus.
· Strong customer service and verbal/written communication skills.
· Ability to work collaboratively in a fast-paced, changing environment.
· Proficiency with personal computers and company communication tools.
· Proficiency in Microsoft 365 is required; advanced Excel skills are essential.
