Department: Corporate Relations & Career Services (Placement)Reporting To: Director Corporate Relations & Career ServicesLocation: Hebbal, BengaluruEmployment Type: Full-time Role Overview:The Back Office Admin Assistant will provide comprehensive administrative and operational support to the Placement Department. The role ensures smooth coordination of placement activities, maintenance of student and recruiter databases, preparation of reports, and effective communication with stakeholders.Key Responsibilities:1. Administrative Support- Manage scheduling, documentation, filing, and general office coordination for placement activities.- Draft and dispatch official letters, emails, and communication to companies, students, and alumni.- Assist in preparing placement brochures, mailers, and other promotional materials.2.
Database & Record Management- Maintain and regularly update student profiles, resumes, and placement data in ERP/CRM/Excel.- Ensure accurate records of recruiter contacts, job descriptions, and placement status.- Generate and compile regular reports (weekly, monthly, and annual) on placement progress.3. Placement Operations- Coordinate logistics for campus placement drives (venue, registration, student line-up, etc.).- Support in the organization of mock interviews, aptitude tests, and training sessions.- Assist in managing online assessments and interview schedules with external vendors.4. Liaison & Communication- Act as a support point for communication between students, recruiters, and the placement team.- Handle incoming queries from companies and students efficiently.- Provide timely updates and reminders to students regarding placement-related activities.5.
Other Responsibilities- Assist in alumni engagement activities and database upkeep.- Support the placement team in research and outreach to prospective recruiters.- Handle any additional tasks assigned by the Head of Placements/Management.Key Skills & Competencies:- Strong organizational and multitasking abilities.- Proficiency in MS Office (Word, Excel, PowerPoint) and database management.- Good written and verbal communication skills.- Attention to detail with a high level of accuracy.- Ability to maintain confidentiality of sensitive information.- Team-oriented attitude with a proactive approach.Qualifications & Experience:- Graduate in any discipline (preferably Commerce/Management/Administration).- 1-3 years of relevant administrative/coordination experience; freshers with strong skills may be considered.- Experience in an educational institution/placement cell will be an added advantage.Career Growth:This role offers an opportunity to build expertise in placement operations, corporate relations support, and career services administration, with potential growth into roles such as Placement Officer or Corporate Relations Coordinator.
