We are looking for an experienced Executive Admin to join our Global Admin team in Krakow, Poland. You will work a hybrid schedule and will be offered an initial fixed‑term employment contract with the possibility of extension, subject to business needs and successful performance.
You will be the first point of contact for executives, providing a professional and efficient service to meet their ongoing needs. This service includes scheduling complex meetings, managing Outlook calendars, booking complex travel, producing and submitting expense reports, preparing PowerPoint presentations, drafting correspondence, maintaining records, taking meeting minutes when required, preparing relevant reports or summaries upon executives' requests, and ensuring an accurate information workflow.
Responsibilities
- Provide administrative support for executive leadership (VP & above)
- Communicate effectively to relevant personnel via oral, written, and visual media using the most effective and applicable equipment, software, and/or systems as required
- Research and summarize information with supporting data in preparation for meetings, work projects, and reports
- Ensure security, integrity, and confidentiality of data
- Ensure processes are performed according to Westinghouse policies and standards
- Focus on details
- Proactively resolve queries in cooperation with other departments
Qualifications
- Associate's degree (or equivalent with years of experience) or bachelor's degree
- 2+ years of experience in a similar role
- Commitment to excellence and result orientation
- Excellent communication and presentation skills in an international business environment at all hierarchy levels of the organization
- Embrace and actively manage change
- Balance multiple priorities through strong time‑management skills, applying attention to detail and analytical problem‑solving
- Demonstrated proficiency in internet navigation for information and data gathering. High‑level interpersonal skills, poise, tact, and diplomacy required to handle sensitive and stressful situations
- Apply proficient knowledge of policies and procedures of assigned department(s) and Westinghouse
- Availability to work on 2nd shift (14:00-22:00 CET)
We are committed to transparency and equity in all our people practices. The base salary range for this position, which is dependent upon experience, qualifications and skills, is estimated to be 7,333 to 9,133 PLN gross per month.
In addition to the base pay, this role may be eligible for incentive pay based on company and individual performance.
