Job Description
An experienced administrative professional is sought to support senior leaders with calendar management, meeting coordination, travel planning, and onsite operational needs. The role requires a high level of skill in facilities coordination, event planning, and collaboration with global teams. The candidate should be proficient in client tools, including Calendar and Numbers, and possess strong communication and organizational capabilities.
The position focuses on strategic executive support for up to two leaders, involving high-impact, globally visible interactions, and necessitates a high degree of confidentiality and flexibility under pressure. Responsibilities include managing dynamic schedules, facilitating meetings, providing travel support, and liaising with senior internal and external guests. The role acts as a central point of contact for building operational needs, which includes supporting process development, hardware and supply management, distributing team communications, and partnering with onsite teams to maintain functional workspaces.
Additionally, the candidate will support peer admin contractors, plan and execute team offsites and events, build strong working relationships with leaders and their teams, and collaborate with globally distributed admin and functional teams. The position is based onsite, with an expectation to be physically present at the office at least three to five days a week, depending on business needs. Recommended qualifications include a minimum of five years of experience as an executive administrative assistant supporting VP-level or higher executives, preferably in the technology industry.
The role requires expertise in managing complex calendars with proactive conflict resolution, planning and executing large events, and demonstrating discretion and sound judgment in handling confidential information. Strong written and verbal communication skills are vital, as well as the ability to remain calm and focused under pressure. Preferred qualifications include a degree at the associate or bachelor's level.
