Position Summary
Reporting directly to the Blue Man Group & VStar Entertainment President, the Executive Assistant provides key support in managing and coordinating the activities of the BMG & VStar President’s Office and contributes to the effective operation of the Management Committee. This role is responsible for managing priorities, meetings, travel arrangements, communications, and follow-ups, while facilitating interactions with internal teams, business partners, and external stakeholders.
The ideal candidate is proactive, highly organized, detail-oriented, and discreet, with a strong ability to manage multiple priorities in a fast-paced and evolving environment.
Key Responsibilities
Support to the President and Management Committee
- Provide day-to-day support to the President in managing priorities, calendar, and various commitments.
- Coordinate meetings for the President and the Management Committee, including invitations, meeting materials, logistics, and follow-up actions.
- Prepare documents, presentations, meeting minutes, tracking reports, and other tools required for meetings and decision-making.
- Monitor and follow up on decisions, action items, and deadlines with responsible stakeholders.
- Act as a liaison between the President’s Office, members of the Management Committee, internal teams, and external partners.
Travel Coordination and Administrative Support
- Coordinate business travel for the President, including itineraries, reservations, meetings, and other logistical requirements.
- Provide administrative support to Management Committee members regarding business travel, expense reports, and other ad hoc needs.
- Coordinate logistics for events, conferences, business meetings, and other professional activities involving the President and, when required, Management Committee members.
- Liaise with relevant corporate functions to facilitate the processing of administrative requests.
Project Coordination and Follow-Up
- Support the President in coordinating strategic projects, mandates, and initiatives, ensuring appropriate follow-up with stakeholders.
- Coordinate cross-functional initiatives involving multiple departments or external partners.
- Ensure the effective flow of information and timely communication of key decisions, deliverables, and updates to the appropriate stakeholders.
- Maintain tracking tools that provide clear visibility into project progress, priorities, and deadlines.
- Contribute to the continuous improvement of processes, tools, and working methods within the President’s Office.
Communications and Document Management
- Coordinate communications originating from the President’s Office and oversee their distribution.
- Draft and revise emails, communications, briefing notes, meeting minutes, and other professional documents in both French and English.
- Organize and maintain records, documents, and information for the President’s Office while ensuring a high level of confidentiality and accuracy.
- Perform any other duties or special assignments as requested by the President.
Qualifications And Profile
- Full professional fluency in both French and English, spoken and written.
- College diploma or university degree in administration, management, communications, or a related field.
- Relevant experience in coordination, executive support, or project management.
- Strong organizational, prioritization, and follow-up skills.
- High degree of autonomy, attention to detail, sound judgment, and professionalism.
- Excellent communication and interpersonal skills, with the ability to interact effectively with stakeholders at all levels.
- Demonstrated tact, diplomacy, and discretion in handling confidential information and sensitive matters.
- Ability to manage multiple priorities simultaneously in a fast-paced and constantly evolving environment.
- Advanced proficiency with Microsoft Office Suite, particularly Outlook, Word, PowerPoint, and Excel.
