R2850765 Position title: Executive Assistant – Vaccines Department: Digital R&D, Data & AI Products and Platforms Location: Toronto, ON About the Job Join Sanofi’s Digital R&D Data & AI Products and Platforms Team as an Executive Assistant to support the Head of Digital R&D Data AI Products and Platforms. You will provide comprehensive administrative support, manage complex calendars, coordinate travel, handle expense reporting, and act as a liaison among stakeholders across the organization.
The ideal candidate will be proactive, resourceful, and capable of handling multiple priorities efficiently. Main Responsibilities Manage complex calendars, schedule meetings across multiple time zones, and coordinate with internal and external stakeholders. Coordinate domestic and international travel arrangements, including logistics for conferences, workshops, and site visits.
Process and reconcile invoices, expense reports in a timely and accurate manner and handle procurement requests as needed. Maintain and organize digital files, ensuring easy access and security. Maintain confidential files and documentation and handle confidential information with discretion.
Prepare and distribute meeting materials, take minutes, and follow up on action items. Team Support & Coordination Provide administrative support to the Digital R&D Data AI Products & Platforms team, including organizing departmental and team events, workshops, off-sites, leadership meetings and logistics. Maintain team distribution lists, organizational charts, and shared resources.
Support HR functions such as onboarding new employees as needed. Track and follow up on action items from leadership and team meetings. Communications Draft, edit, and distribute internal communications on behalf of the Head of Digital R&D Data AI Products & Platforms.
Manage information flow and ensure timely responses to inquiries. Coordinate internal and external communications (presentations, reports, briefing materials) on behalf of leadership. Support the preparation and/or consolidation of materials for governance meetings, leadership reviews, and cross‑functional initiatives.
About You – Qualifications Proven experience as an Administrative Assistant, Executive Assistant or similar role. 3+ years of experience supporting senior leaders in a pharmaceutical, biotech or healthcare environment. Bachelor’s Degree (preferred). Exceptional organizational skills with the ability to manage multiple priorities and meet deadlines.
Strong written and verbal communication skills. Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams, SharePoint), Zoom. Experience with travel coordination and expense management systems (e.g., Concur).
High level of professionalism, discretion, and confidentiality. Ability to work independently and as part of a team. Experience supporting senior executives preferred.
