One system. The Role We are hiring an Executive Assistant to the CEO to help build and run the operating cadence of a fast-moving early-stage company. You will work directly with the CEO on a daily basis, with broad ownership over scheduling, communications, internal coordination, and the tooling that supports it all.
This role is ideal for an early-career operator who has already supported a senior leader at a startup or fast-paced environment, who is comfortable with modern tools and AI, and who wants real operating exposure inside a growing company. Responsibilities Manage the CEO's calendar, meetings, and follow-up cadence end to end Schedule meetings, manage interview pipelines, prepare agendas, and send recaps Draft business correspondence, internal documents, and external communications Coordinate business travel, vendor relationships, and operational logistics Set up and maintain internal tools including the company CRM, recruiting pipelines, and operational dashboards Build internal automations across no-code and AI tooling to remove manual work Use modern AI tools to research, draft, summarize, and prepare materials Anticipate operational needs and prepare briefing materials in advance Coordinate confidential business communications with discretion Required Qualifications One or more years supporting a CEO, founder, or senior leader, or equivalent operating experience at an early-stage startup Excellent written and verbal communication skills Strong organizational skills and high attention to detail Comfort with modern productivity and collaboration tools Ability to operate independently and exercise sound judgment Based in Canada with availability during Eastern Time business hours Preferred Qualifications Prior experience as an Executive Assistant, Founder's Associate, or Operations Associate at a startup Working knowledge of AI tools such as ChatGPT, Claude, or similar Experience setting up or maintaining a CRM (Attio, HubSpot, Salesforce, or similar) Experience with no-code automation platforms (Zapier, Make, n8n) Familiarity with Notion, Linear, Slack, and Google Workspace Background in payments, e-commerce, or SaaS Competitive base salary plus performance bonus and equity. Semi-annual performance reviews with compensation adjustments.
