Executive Assistant & Operations Manager | Jacksonville, FL | Full-Time | $75,000–$85,000

We're hiring an Executive Assistant & Operations Manager to work directly alongside company leadership and partners, helping manage priorities, coordinate operations, and ensure critical initiatives move forward.
This role is best suited for someone who enjoys being the person others rely on when something important needs to get done.
What This Role Really Is
This is not an event planning position.
And it's not a traditional administrative assistant role focused solely on calendars and scheduling.

You'll help senior leadership stay focused on high-value priorities by ensuring details, logistics, communication, and follow-through are handled effectively.
Events are part of the role.
Executive partnership and operational execution are the core of it.
What You'll Own
Executive calendar management and scheduling
Complex travel coordination and logistics
Executive meeting preparation, agendas, presentations, and follow-up
Tracking priorities, action items, and strategic initiatives
Managing communication and coordination across departments
Building systems, processes, and organizational structure that improve efficiency
Supporting leadership with research, documentation, and project execution
Identifying opportunities to improve workflows through technology and AI
Coordinating leadership meetings, retreats, and company events as needed
Managing vendors, contracts, and operational logistics associated with executive initiatives

Who This Role Is NOT For
This role is probably not a fit if:
You're primarily seeking an event planning position
Most of your experience is focused on social events, weddings, hospitality events, or event production
You prefer highly structured environments with narrowly defined responsibilities
You require step-by-step direction to manage priorities
You are uncomfortable operating independently
You prefer managing events more than supporting executive operations
We're looking for someone whose primary strength is executive support and operational execution.
Event coordination is important—but it is not the primary focus of the role.

You should already be comfortable using AI tools such as ChatGPT, Claude, Gemini, Perplexity, or similar platforms to improve:

What We're Looking For
5+ years of experience supporting executives, business leaders, founders, or senior leadership teams
Experience managing complex calendars, travel, and executive logistics
Strong project coordination and operational support experience
Exceptional organizational and time management skills
Strong written and verbal communication skills
Ability to manage confidential information with discretion
Experience building systems and improving processes
Proficiency with Microsoft Office and modern workplace technology
Experience using AI-powered productivity tools
