Job Description
Job Summary
Beverly Hotel Elements is seeking a highly organised, proactive, and dependable Personal Assistant to provide comprehensive administrative and operational support to the Director. The successful candidate will play a key role in ensuring the smooth management of the Director's daily activities, maintaining confidentiality, and facilitating effective communication with internal and external stakeholders.
This position follows a 5-day work weekand may require flexibility to work beyond regular office hours when necessary to accommodate the Director's schedule and business requirements.
Key Responsibilities
- Manage and maintain the Director's calendar, appointments, meetings, and daily schedule.
- Coordinate internal and external meetings, including preparation of meeting materials, agendas, and minutes.
- Handle email correspondence, telephone calls, and communications on behalf of the Director in a professional manner.
- Arrange travel bookings, accommodation, transportation, and prepare detailed travel itineraries.
- Prepare reports, presentations, letters, and other business documents as required.
- Assist in project coordination, monitor progress, and follow up on action items to ensure timely completion.
- Maintain organised filing systems and records, both physical and electronic.
- Liaise effectively with internal departments, business partners, vendors, and external stakeholders.
- Handle confidential and sensitive information with the highest level of discretion and professionalism.
- Support the Director in administrative and operational matters to ensure smooth day-to-day business operations.
- Exposure to tenant relations, property administration, or leasing support functions.
- Strong stakeholder management skills with the ability to communicate effectively with tenants, vendors, business partners, and internal teams.
- Perform any other ad-hoc duties and responsibilities as assigned by the Director.
Requirements
- Diploma or Degree in Business Administration or a related discipline.
- Minimum 2 to 5 years of relevant experience as a Personal Assistant, Executive Assistant, or in a similar support role.
- Excellent organizational, planning, and time management skills.
- Strong verbal and written communication skills.
- Proficient in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
- Ability to multitask, priorities effectively, and perform well under pressure in a fast‑paced environment.
- High level of integrity, professionalism, and confidentiality.
- Resourceful, proactive, and able to work independently with minimal supervision.
- Positive attitude with strong interpersonal skills.
- Proficiency in Indonesia will be an added advantage, as the role may involve communication with Indonesian speaking clients and management
- Experience supporting senior management within the hospitality, property rental, real estate, or related industries will be an added advantage.
