Role: Front Office Receptionist
Location: OMR, Perungudi, Chennai
Experience: 6 month - 1 year

Responsibilities:•Station at the Front Desk during all business hours, maintaining a professional presence.•Greet members and guests warmly with a smile to ensure they feel welcome.•Manage visitor registrations via Envoy (Visitor Management System) on the iPad, ensuring proper documentation and entry logs.•Handle Envoy pass issuance, badge inventory, and data tracking for accurate records.•Direct visitors, partners, and stakeholders to appropriate personnel, departments, or meeting rooms.•Issue temporary badges, visitor tags, and parking stickers to employees•Contractors and visitors; track inventory and request replenishments as needed.•Address all member and guest inquiries proactively, providing accurate information about the organization and resolving issues promptly. Answer the centre board line within three rings during business hours.•Support internal teams (Facilities, HR, BT Support) and coordinate with vendors/service providers for seamless operations, including daily consolidated entry requests via Workday Safety and sharing mandatory compliance guidelines (Visitor/Vendor, Facilities, Building).•Manage incoming/outgoing official packages and couriers (domestic/international) via partnered vendors, track dispatch, delivery, and Slack notifications for timely processing.•Acknowledge, assign, resolve, and close facility/front office tickets on ServiceNow, ensuring proper documentation and timely updates.•Conduct daily walkthroughs of ground floor, washrooms, lobby, drivers' room, parking, basement, badging room, back-of-house, interview rooms, mailroom, and Front Desk to verify cleanliness, safety, standard amenities (newspapers, magazines), scent management, biophilia elements, creatives, and TV content.Public•Maintain organized, clean Front Desk and mailroom; manage supplies (stationery, face masks, hand sanitizer) and reorder as needed.•Issue Pluxee benefit cards (if required), maintaining related data and inventory.•Attend daily facility team briefings to report open tickets, VIP visits, and events.•Encourage members to enroll in the CONVERGE App.•Perform daily inbox checks, update internal trackers/tools, and send timely Slack broadcasts to workmates on relevant updates and events.
