Position Overview
We are seeking a Guest Relations Coordinator to serve as the pivotal connector between our guests and the Atomix experience. This is a hands-on, salaried role that blends administrative precision with high-touch service execution.
Reporting to the General Manager, you will ensure that guest preferences, dietary needs, and special moments are communicated clearly and executed seamlessly. Guest Relations Coordinator responsibilities include (but are not limited to):
Guest Relations & Reservations
- Oversee and manage guest communications through info@ email inboxes and the Tock/Loyalist platform
- Conduct guest research and Google checks to support personalized experiences
- Maintain, update, and distribute allergy charts, ensuring clear communication between FOH and BOH
- Prepare and send weekly allergy summaries to the team
- Act as a liaison between FOH and BOH for guest preferences, allergies, and special requests
- Track and manage celebrations (cards, candles, sweets, etc), and special occasion notes
- Prepare and coordinate welcome cards for guests with the HQ team two weeks in advance
Experience Design & Special Touches
- Collaborate with leadership and design partners on guest experience concepts, menu personalization, and special moments
- Assist in the creation and maintenance of guest experience blueprints and standards
- Coordinate menu card updates, inventory, and ordering in tandem with the GM and AGM
- Maintain menu box inventory, accuracy, and readiness for service
Service Support & Execution
- Assist with end-of-service responsibilities such as walking guests out and managing menu boxes
- Provide support to downstairs teams as needed to ensure smooth service execution
Partnerships & Events
- Serve as a liaison to American Express or other concierge partners for guest-related requests, working alongside GM and AGM
- Support floor plan preparation and execution
- Ensure guest-facing materials and systems are accurate, updated, and operationally sound
Qualifications:
Experience: Previous experience in luxury guest relations or Michelin-starred environments is highly preferred.
Detail Orientation: An obsession with accuracy—from maintaining "paperless" allergy charts to ensuring the readiness of menu box inventory.
Communication: Exceptional written and verbal communication skills; you will be a primary voice of the Atomix brand across digital and in-person touchpoints.
Technical Savviness: Proficiency in reservation platforms (Tock, Loyalist) and digital communication tools.
Mindset: A proactive, discreet, and organized professional who can balance behind-the-scenes coordination with a mastery of guest engagement; possessing the refined poise, warmth, and emotional intelligence to anticipate guest needs before they are articulated.
Flexibility: Comfortable with a hospitality-driven schedule (typically 1:00 PM – 11:00 PM or 2:00 PM – Midnight).
