Senior Investment Management Administrator – Private Clients London (City) | Hybrid – 4 days in the office, 1 day from home | Salary: Competitive The Firm Our client is a well-established, partner-owned investment management firm based in the City of London, with a headcount of circa 35 staff and partners. They provide bespoke investment and wealth management services to private clients, combining the investment standards of a large institution with a close, relationship-led service mode l.The firm also runs a dedicated wealth planning offering, delivering retirement, tax-efficient and estate planning advice to its private client base. The Role A great opportunity for an experienced private client investment administrator to join a growing team, providing high-quality administrative support to the Head of Wealth Planning and the wider team.
Key Responsibil ties Provide administrative support to the team, including diary management, arranging meetings, and responding to client and adviser correspondence. Produce accurate and timely reports and presentations for client and internal meetings. Prepare client meetings, including agendas, meeting packs, and post-meeting follow up.
Work with the Head of Wealth Planning to design and implement team processes and procedures. Build and maintain strong working relationships with clients, their advisers, and internal colleagues. Maintain client records, plans, fees, tasks and activities on the firm's back-office platform.
Implement advice recommendations, including form completion and liaising with product providers. Produce fund switch and withdrawal letters, carrying out the necessary research and documentation. Analyse client and provider information, using research tools to support fund performance and illustration comparisons.
Obtain Letters of Authority (LOAs) and accurate plan information in a timely manner. Liaise with third parties and providers to clarify technical points and resolve queries. Prepare client valuations and annual review packs.
Carry out research for advisers as required. Support ad hoc projects and tasks across the team. About You 5+ years' administrative experience within investment management or wealth planning for private/HNW clients.
Excellent administrative and organisational skills, able to manage multiple tasks and priorities. Strong numeracy, with excellent attention to detail and accuracy. Confident communicator, both written and verbal.
Able to work on own initiative and take ownership of tasks. Proficient in Microsoft Office (Word, Excel, PowerPoint), and comfortable learning firm-specific platforms. Collaborative and inclusive approach, comfortable working in a close-knit team.
