Job OverviewReporting directly to the Chief Legal Assistant, responsible for providing legal assistance to assigned legal staff, and acts as a liaison between attorneys, courts, witnesses, law enforcement agencies, other agencies, and the public. Assists legal staff by drafting all necessary legal documents.ResponsibilitiesReviews court dockets (such as First Appearance, Announcement, Pretrial, Jail Call, Plea, Sentencing), prepares all paperwork necessary for dockets (such as plea packets, evidence logs, motions and other miscellaneous documentation), as well as all paperwork requested by the prosecutor or the courts, and attends court dockets to provide support and assistance for additional needs during settingsPrepares subpoenas and monitors/updates the subpoena tracking systemEnters, updates, and retrieves information across multiple systems and databasesAssists attorneys in court and helps maintain court dockets and calendarsSupports, cross‑trains, and assists in other courts as neededRoutinely communicates with court personnel regarding upcoming case settings and case managementDrafts required legal forms and notices as neededOrganizes, copies, prepares, and creates prosecution case files, and inputs data into the systemGenerates workflow intake sheets and distributes to appropriate prosecutors for reviewE‑files Protective Order applicationsReceives, processes, and inputs petitions for expungementSubmits electronic reports to Texas Department of Public Safety and Criminal Justice Information Services (CJIS)Inputs cases sent up on appeal from Municipal and/or Justice of the Peace courtsRequests case reports from the appropriate agenciesPrepares case files to be sent to District Attorney's officeProcesses declined cases and refiled casesReceives media and documentary evidence from external agencies and internal staffAssists law enforcement agencies with receipt of media evidenceAccesses law enforcement databases to acquire various reports and documents as neededAssists in preparation of witness subpoenasMaintains confidentiality and security of records and informationEnsures all case documents received are appropriately attached and labeled in the case databaseProvides administrative support to include mailing paperwork, answering telephones, faxing, scanning, creating communications, making copies, and dispensing mailCross‑trains and serves as back up in other areas to ensure continuity of departmental operationsEnsures all visitors comply with Texas Crime Information Center (TCIC)/National Crime Information Center (NCIC) policesCommunicates frequently with County personnel, Attorneys, law enforcement agencies, and the publicPerforms related special projects as assigned including but not limited to Pretrial Intervention program, Truancy cases, Mental Health dockets, DWI/Veterans Court dockets, Expunction, and Non‑DisclosuresResponsible for the proper handling of payments and receipting them correctly in the databaseAttends all meetings and trainings, as requiredPerforms special duties as assignedOrganization RelationshipsReports directly to – Chief Legal AssistantDirect Reports – NoPhysical DemandsPosition involves prolonged sitting at a workstation, visual examination of documents, reaching, walking, twisting, bending, standing and occasional lifting/carryingEnvironmental FactorsWork is primarily indoors in an air‑conditioned environmentHigh stress, pressure of deadlines, and case management under limited time constraintsIrregular HoursWork outside of the normal office hours (Monday‑Friday 8 a.M. to 5 p.M.) may be requiredMay be deemed essential personnel in the event of an emergencyRegular attendance is requiredEducation and ExperienceAssociate degree in a related field; OR an equivalent combination of education and experienceWorking knowledge of Microsoft Office SuiteLicenses and CertificationsValid driver’s license (required within thirty (30) days of employment)Criminal Justice Information Services (CJIS) Security Awareness Certification (required within six (6) months of employment)Texas Crime Information Center (TCIC)/Texas Law Enforcement Telecommunications System (TLETS) Mobile Access Certification (required within six (6) months of employment)Texas Notary Public Commission (required within six (6) months of employment)Preferred QualificationsOne (1) year of experience in a legal settingBilingual: SpanishWorking knowledge of Odyssey, Adobe Acrobat, Adobe Sign, Laserfiche, Kronos, Alice, and JabberEmployment TestingCriminal background check: YesMotor Vehicle Record check: YesDrug screening: NoPhysical exam: NoPsychological exam: NoAdditional: N/AEqual Opportunity EmployerWilliamson County is an Equal Opportunity Employer and complies with the Americans with Disabilities Act and Uniformed Services Employment and Reemployment Rights Act (USERRA).
