Job Description
John L. Scott Real Estate is seeking an experienced, highly organized, and proactive Legal Operations Manager to serve as a trusted operational partner to the General Counsel.
This role supports a broad range of legal, compliance, brokerage, franchise, corporate governance, risk management, and commercial leasing functions. The successful candidate will help manage projects, improve processes, coordinate key initiatives, and ensure important legal and operational responsibilities are completed accurately and on time.
The ideal candidate exercises sound judgment, operates independently, takes ownership of assigned responsibilities, and is equally comfortable handling complex business issues and recurring operational tasks.
Success in this role requires exceptional attention to detail, strong writing, drafting, editing, and proofreading skills, and the ability to manage multiple priorities in a fast-paced environment. The Legal Operations Manager will regularly prepare and review contracts, franchise documents, compliance communications, policies, procedures, reports, training materials, and other written work product.
This position combines project coordination, substantive legal support, process improvement, and day-to-day operational execution. The successful candidate must be willing to handle both significant projects and routine administrative responsibilities. No task is too big or too small if it contributes to the success of the Legal Department and the company.
What You'll Do
Legal Operations & Compliance
- Coordinate responses to subpoenas, records requests, and discovery matters.
- Maintain corporate records, business licenses, compliance calendars, and legal tracking systems.
- Support litigation, claims management, insurance administration, and contract management.
- Develop and maintain tracking systems, reports, and dashboards to monitor litigation, claims, legal spend, licensing, compliance activities, leasing obligations, franchise matters, and other key department metrics.
- Draft, review, and edit correspondence, policies, procedures, notices, reports, and other legal and operational documents.
Brokerage Compliance & Risk Management
- Review transaction files, forms, and contracts for compliance with company policies, risk management standards, and applicable laws.
- Support audits, internal investigations, disciplinary matters, and dispute resolution processes.
- Assist with interpretation and implementation of brokerage policies, transaction forms, and compliance initiatives.
- Serve as a resource to Office Leaders, Affiliates, and internal stakeholders.
Franchise & Affiliate Operations
- Draft franchise agreements, amendments, notices, disclosure-related documents, and other franchise-related materials.
- Serve as the primary internal coordinator for franchise registration and renewal matters, managing outside counsel, coordinating information requests, tracking deadlines, reviewing filings, and ensuring timely completion of state registration and renewal requirements.
- Track key franchise dates, renewal deadlines, compliance obligations, and contractual milestones, and coordinate activities necessary to ensure timely completion of all requirements.
- Support affiliate communications, training initiatives, and operational best practices.
Commercial Leasing
- Maintain the company’s lease records, lease database, and related documentation.
- Prepare and maintain lease abstracts, ensuring key business and legal terms are accurately summarized and tracked.
- Monitor and track critical lease dates, renewal options, notice periods, rent escalations, landlord obligations, and other lease-related deadlines.
- Review CAM, operating expense, and tax reconciliations, and assist with lease administration and office-related projects.
- Coordinate with Finance, Operations, landlords, brokers, and outside counsel on lease-related matters as needed.
Project Leadership & Process Improvement
- Lead cross-functional projects involving Legal, Operations, Finance, IT, Risk Management, and Franchise Services.
- Design, document, implement, and improve legal workflows, intake processes, policies, templates, playbooks, and operating procedures to improve efficiency, consistency, and scalability.
- Facilitate meetings, track action items, and help ensure accountability and follow-through.
- Serve as a central coordination point for the Legal Department, helping ensure priorities are communicated, tracked, and executed efficiently.
- Identify operational issues, process gaps, and opportunities for improvement, and recommend practical solutions.
What We're Looking For
- 5+ years of experience in legal operations, compliance, brokerage operations, corporate governance, project management, franchise operations, risk management, or related business functions.
- Exceptional attention to detail and organizational skills.
- Strong writing, drafting, editing, and proofreading abilities.
- Ability to manage multiple priorities and deadlines independently.
- Strong judgment and problem-solving skills.
- Demonstrated ownership mentality and willingness to handle both strategic projects and routine operational responsibilities.
- Degree not required. Relevant experience and demonstrated success are more important.

Work Arrangement
This position is expected to be primarily on-site during onboarding and training. After successful onboarding and demonstrated performance, a hybrid work arrangement may be considered based on business needs and manager approval.
Salary Range:
$85,000–$110,000 depending on experience and qualifications.
