Job Description
Purpose of the RoleTo ensure uninterrupted plant operations by maintaining optimal inventory of maintenance spares, consumables, and tools through effective store management, control systems, and coordination with maintenance and procurement teams.Key Responsibilities1. Inventory ManagementMaintain accurate stock levels of all maintenance spares, consumables, and critical parts.Ensure proper classification of items (Mechanical / Electrical / Utilities / Instruments).Define and monitor Minimum, Maximum, and Reorder Levels.Avoid stock-outs of critical spares and overstocking of non-moving items.2. Material Receipt & InspectionVerify incoming materials against Purchase Orders (PO) and Delivery Challans.Coordinate with Quality / Maintenance team for inspection and approval.Ensure proper documentation (GRN - Goods Receipt Note).3.
Material Issue ControlIssue materials only against authorized requisitions (Maintenance Slip / SAP request).Maintain real-time tracking of issued vs available stock.Ensure FIFO / FEFO (where applicable) system implementation.4. Spare Parts PlanningWork closely with Maintenance Engineers to identify critical spares list.Support preventive maintenance by ensuring availability of required parts.Track consumption patterns and forecast future requirements.5. Documentation & Record KeepingMaintain updated records in ERP / Excel (Stock Register, Issue Register, GRN, etc.).Ensure audit-ready documentation (BRC / ISO / SEDEX compliance).Maintain calibration records for tools (if applicable).6.
Store Organization & 5S ImplementationEnsure proper labeling, binning, and location mapping of all items.Implement and sustain 5S practices in the store area.Ensure safe storage conditions (no contamination risk - food industry compliance).7. Coordination & CommunicationCoordinate with Procurement for timely ordering of spares.Work closely with Maintenance team during breakdowns for urgent material support.Escalate shortages or delays proactively.8. Stock Audit & ControlConduct periodic physical stock verification (weekly/monthly).Identify and report discrepancies, damages, or obsolete stock.Maintain control on slow-moving and non-moving inventory.9.
Cost ControlOptimize inventory carrying cost without affecting plant uptime.Suggest alternatives / standardization of spares to reduce cost.10.
