Overview
We are seeking a dynamic and highly organized Operations Coordinator to join our team and drive operational excellence across our organization. In this vital role, you will oversee daily administrative functions, coordinate vendor relationships, manage scheduling and calendar activities, and support various departments to ensure smooth operations. Your proactive approach, exceptional communication skills, and ability to handle confidential information will be key to your success.

Responsibilities:
- PHONES: Responsible for the main phone line and triage of calls and emails requesting organizational information.
- MAILROOM: Handles all incoming and outgoing mail, including weekly Grant and AP checks. Prepares and ships materials for events. Tracks deliveries of overnight packages. Copies, collates, and binds materials. Responsible for overall organization of the mailroom.
- ZOOM: Sets up Zoom meetings in conference rooms.
- OFFICE SUPPLIES: Anticipates needs and orders supplies and equipment for the entire organization.
- FILING: Manages the filing system for electronic documents.
- HOSPITALITY: Greets visitors at the front desk and assists with hospitality, light kitchen duties, and staff lunch orders.
- DATABASE: Enters new contact records and updates existing records in the organization's database as needed.
- DEPOSITS: Prepares bank deposit slips.
- ACCOUNTS: Opens and maintains accounts as needed, supporting account setup.
- DEVOTIONS: Attends and periodically leads staff devotions.
Qualifications:
- Belief in and adherence to WaterStone's Statement of Faith and Mission.
- High school diploma or equivalent required; 2+ years of administrative or office-support experience preferred.
- Excellent verbal, written, and analytical skills.
- Proficiency with Microsoft Office (Word, Excel, Outlook), Zoom, and expense-tracking tools (e.g., Concur).
- Strong organizational skills with the ability to multitask and thrive in a fast-paced environment with little supervision.
- Self-motivated and able to work independently.
- Non-exempt position that is ineligible for remote work due to office responsibilities.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Performs other related duties as assigned.
- Must be able to lift 15 lbs.
