Job DescriptionJob Description Position Title: Parts ExpeditorSummary / ObjectiveThe Parts Expeditor is responsible for coordinating the timely procurement, tracking, and delivery of parts, materials, and supplies necessary to support maintenance, repair, and operational activities. This position serves as a critical link between vendors, warehouse personnel, technicians, and internal stakeholders to ensure parts are available when needed and operational downtime is minimized.The Parts Expeditor proactively monitors order status, expedites urgent requests, maintains inventory accuracy, and resolves supply chain issues that may impact productivity. Success in this role requires strong organizational skills, attention to detail, effective communication, and the ability to prioritize competing demands in a fast-paced environment.Essential FunctionsProcess, monitor, and track parts orders from initiation through final delivery.Expedite urgent and high-priority parts requests to support operational requirements and minimize equipment downtime.Communicate regularly with vendors, suppliers, and internal departments regarding order status, backorders, expected delivery dates, and shipment discrepancies.Coordinate with warehouse personnel to receive, verify, stage, and distribute incoming parts accurately and efficiently.Maintain accurate inventory records and assist with inventory counts, stock reconciliation, and cycle counting activities.Research availability, lead times, and alternate sourcing options when parts shortages or delays occur.Follow up proactively on outstanding purchase orders and open requests to ensure timely fulfillment.Maintain detailed documentation of order status, shipment tracking information, vendor communications, and delivery confirmations.Assist in identifying inventory trends and recommending appropriate stocking levels for frequently used parts.Collaborate with Procurement, Operations, Service, and Accounting teams to support efficient workflow and accurate recordkeeping.Ensure parts received match purchase orders and packing slips, reporting discrepancies immediately.Support continuous improvement initiatives designed to enhance inventory accuracy, vendor performance, and supply chain efficiency.Adhere to all Company policies, safety procedures, and applicable regulations.Perform other related duties as assigned.CompetenciesOrganization and Attention to DetailCommunication and Interpersonal SkillsCustomer Service OrientationTime Management and PrioritizationProblem Solving and Critical ThinkingVendor Relationship ManagementInventory Control and DocumentationAdaptability and FlexibilityAccountability and Follow-ThroughAbility to Work Independently and as Part of a TeamMinimum QualificationsHigh school diploma or equivalent required.Minimum of one (1) year of experience in parts expediting, inventory control, warehouse operations, procurement support, or supply chain coordination.Proficiency in Microsoft Office applications, including Outlook, Word, and Excel.Strong verbal and written communication skills.Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.Ability to perform basic mathematical calculations and maintain accurate records.Preferred QualificationsExperience supporting automotive, heavy equipment, construction, facilities maintenance, or industrial operations.Knowledge of procurement processes, vendor management, and supply chain best practices.Physical RequirementsAbility to sit, stand, walk, bend, and reach for extended periods throughout the workday.Ability to occasionally lift and carry materials weighing up to 25 pounds.Ability to operate standard office equipment, including computers, telephones, printers, and scanners.Ability to work in warehouse, shop, and office environments with varying noise levels and temperatures.Work EnvironmentThis position operates in a professional office setting with regular interaction in warehouse, parts storage, and maintenance shop environments.
