PROJECT COORDINATOR/ANALYST (HR SYSTEMS/FINANCIAL OPERATIONS)
Location: Dublin 2 (hybrid)
Contract: 6 months initially with view to extension
Salary: 35-50K per annum
Set-up: PAYE or Limited Company contracting
ROLE OVERVIEW
- The PROJECT COORDINATOR/ANALYST will play a critical role in supporting the EMEA delivery of a global HR transformation programme.
- This role is central to ensuring the smooth day-to-day operation of programme governance, reporting, planning, documentation management, and stakeholder coordination.
- Working closely with programme leadership, project managers, delivery teams, and global stakeholders, you will help maintain programme controls and ensure governance processes are applied consistently across all workstreams.
- The successful candidate will operate within a dual reporting and engagement structure, partnering with both the Global Programme Office and the EMEA ITSD Cross Product Platforms teams (HR IT and Data IT).
KEY RESPONSIBILITIES
Program Governance
- Coordinate and support programme governance forums and meetings.
- Schedule and manage Steering Committees, Programme Boards, Design Authority forums, and workstream meetings.
- Prepare agendas, meeting packs, presentations, and supporting documentation.
- Capture meeting minutes, decisions, actions, and key outcomes.
- Track action completion and escalated overdue actions where required.
Program Administration
- Maintain the programme documentation repository.
- Ensure all programme artefacts comply with documentation standards, version control requirements, and approval processes.
- Manage programme distribution lists and communications channels.
- Coordinate document reviews, approvals, and publication.
RAID Management
- Maintain programme RAID logs, including Risks, Assumptions, Issues, Dependencies, Decisions, and Actions.
- Gather updates from workstream leads and project managers.
- Ensure all RAID items are current, accurate, and reflected in governance reporting.
- Monitor and escalating overdue actions appropriately.
Planning & Reporting
- Support the production of weekly and monthly programme reporting.
- Collect and consolidate status updates across multiple workstreams.
- Maintain programme dashboards, milestone trackers, and reporting packs.
- Assist with updates to integrated programme plans.
- Produce high-quality management and leadership presentation materials.
Integration Workstream Support
Support delivery and integration leads by maintaining key programme trackers, including:
- oIntegration delivery tracking
- oDesign documentation tracking
- oBuild progress monitoring
- oSIT and UAT readiness trackers
- oCutover planning trackers
- Produce and maintain defect reporting.
- Coordinate information flow between Enterprise Architecture, Integration Development teams, regional stakeholders, third-party vendors, and the Programme Management Office.
Financial & Resource Administration
- Support programme resource onboarding and offboarding activities.
- Maintain programme resource and capacity trackers.
- Assist with resource reporting and programme administration activities.
Quality & Compliance
- Ensure governance artefacts meet programme standards and controls.
- Maintain audit evidence and supporting documentation.
- Support stage-gate reviews and quality assurance activities.
- Ensure programme records remain accurate, complete, and audit-ready.
Program Communications
Support the preparation and distribution of:
- Weekly and monthly status reports
- Governance and steering committee packs
- RAID summaries
- Programme newsletters
- Milestone updates
- Programme-wide communications
SKILLS & EXPERIENCE
- Previous experience in a PMO Administrator, Project Administrator, PMO Analyst, or similar support role.
- Key technical skills: JIRA, AGILE
- Experience supporting large-scale business or technology transformation programmes.
- Strong organisational and planning skills with the ability to manage multiple priorities.
- Excellent attention to detail and document management capabilities.
- Strong written and verbal communication skills.
- Experience maintaining governance documentation, reports, and programme artefacts.
- Ability to work effectively across multiple workstreams and stakeholder groups.
- Strong stakeholder management and relationship-building skills.
- Experience working within global or matrix organisations.
- Knowledge of project and programme governance frameworks.
PREFERRED SKILLS & EXPERIENCE
- Experience supporting HR transformation programmes.
- Exposure to SAP SuccessFactors or other enterprise HCM implementations.
- Experience working on systems integration programmes.
- Experience working within global or matrix organisations.
