The Role
We are seeking a highly organized, proactive Project Coordinator / Manager to serve as the operational hub between our clients, engineers, and internal teams. You will coordinate projects from initiation through closeout, ensuring schedules, budgets, communication, and client expectations remain aligned.
This is a hands-on role where you'll bring structure to complex projects, improve internal processes, and help our engineering teams consistently deliver exceptional client service.
What You'll Do
Project Coordination: Manage project schedules, milestones, budgets, and resources across multiple forensic engineering projects.
Client Communication: Serve as a primary point of contact for clients by responding to inquiries, providing project updates, and maintaining strong professional relationships.
Team Collaboration: Coordinate with engineers and department leaders to balance workloads, forecast future work, and ensure timely project delivery.
Financial Coordination: Track project budgets, monitor budget variances, assist with forecasting, process milestone invoicing, and support collections while maintaining positive client relationships.
Project Administration: Maintain project documentation, calendars, travel arrangements, meetings, and project records with exceptional attention to detail.
Process Improvement: Develop reports, improve project tracking, assist with SOP development, and help implement project management tools and operational improvements.
Risk & Compliance: Perform conflict checks through legal document review and ensure project documentation supports firm requirements.
Operational Support: Communicate project status, identify potential issues, and provide administrative support to managers, engineers, and technical staff.
What You Bring
Experience: Experience in project coordination, project management, client services, operations, or administrative leadership. Experience in engineering, construction, or legal environments is a plus but not required.
Education: Bachelor's degree required.
Credentials (Plus): PMP certification preferred.
Tools: Proficiency in Microsoft Office Suite and Microsoft Teams.
Communication: Excellent verbal and written communication skills with the ability to build strong client relationships.
Organization: Exceptional attention to detail, organizational skills, time management, and the ability to successfully manage multiple priorities.
Problem Solving: Strong analytical, critical thinking, and decision-making abilities with a proactive approach to resolving issues.
Mindset: Adaptable, collaborative, professional, eager to learn, and comfortable working in a fast-paced, technology-driven environment.

Workload naturally fluctuates throughout the year, making organization, adaptability, and prioritization essential to meeting client expectations and project deadlines.
