As we scale, we are strengthening our Project Management Office and building a more structured, technology-enabled delivery model focused on visibility, accountability, early risk identification, and predictable project outcomes.Role Purpose The PMO & Project Controls Manager will act as the operational control centre for multiple projects, connecting schedules, design deliverables, approvals, procurement, site execution, risks, decisions, and management reporting.
This is not only a scheduling or reporting role. The successful candidate will help transform project execution from individual-dependent coordination into a structured, repeatable, system-driven delivery model. The role should enable management to quickly understand: What changed?
What is delayed? What is at risk? Why?
Who owns the action? What decision is required? When must it be closed?Key ResponsibilitiesProject Planning & Controls • Develop project execution plans, baseline schedules, milestones, and delivery programmes. • Integrate design, approvals, procurement, execution, and handover requirements into project schedules. • Monitor progress against baseline and forecast completion dates. • Track critical paths, dependencies, constraints, and milestone slippages. • Develop recovery plans for delayed activities.PMO & Project Governance • Establish and maintain consistent project-control and governance systems. • Maintain portfolio-level visibility across multiple active projects. • Develop project dashboards, health scorecards, milestone trackers, and management reports. • Conduct structured weekly project review meetings. • Ensure agreed actions have clear owners, due dates, and closure status. • Maintain project records, governance documentation, and escalation logs.Design & Decision Control • Track design deliverables, GFC drawings, consultant inputs, and approvals. • Maintain design, decision, and approval registers. • Identify information required to release procurement or execution activities. • Escalate overdue client, architect, consultant, or management decisions before they affect project milestones. • Maintain linkage between decisions, drawings, procurement, and execution.Procurement Tracking • Develop procurement schedules aligned with project programmes. • Track material selections, approvals, quotations, purchase commitments, lead times, and deliveries. • Maintain package-wise procurement dashboards. • Track long-lead and critical materials. • Monitor vendor commitments and identify procurement risks early. • Coordinate closely with Design, Procurement, Vendors, and Project Teams.Execution Coordination • Monitor work-front readiness before execution. • Ensure drawings, approvals, materials, manpower, and preceding activities are available. • Coordinate Design, Procurement, Vendors, Contractors, Site Teams, and Project Managers. • Track execution milestones and trade dependencies. • Identify bottlenecks and drive corrective actions to closure.Project Intelligence & Reporting Convert project information into actionable management intelligence, not simply status reports.
Prepare and maintain: • Daily Progress Reports where required • Weekly Project Dashboards • Project Health Scorecards • Procurement Status Reports • Decision & Approval Dashboards • Risk & Issue Registers • Milestone and Delay Reports Management reporting should clearly communicate: What changed What is at risk Why Owner Required Action Due Date.Risk, Issue & Escalation Management. • Maintain project risk and issue registers. • Identify schedule, procurement, design, execution, quality, and stakeholder risks. • Assign owners and mitigation actions. • Track corrective actions through closure. • Escalate critical risks before they affect project outcomes. The PMO should operate as an early-warning system, not merely a historical reporting function.Action & Closure Management. • Maintain project action registers. • Ensure every critical action has an owner and due date. • Track ageing and overdue actions. • Drive consistent stakeholder follow-up. • Escalate unresolved dependencies. • Build a strong culture of ownership, accountability, and closure.Change, Quality & Handover Control. • Track design changes, client changes, and project variations. • Coordinate change information between Design, Commercial, Procurement, and Execution teams. • Track quality inspections, snagging, corrective actions, and handover readiness. • Maintain outstanding-item registers through final closure.Systems & Process Development. The candidate will play an important role in building Urbano Disegni's internal project-delivery operating system.
Responsibilities include: • Develop SOPs, workflows, templates, and reporting standards. • Standardize project-control processes across projects. • Improve information flow between departments. • Reduce fragmented and duplicate project reporting. • Establish a reliable single source of project truth. • Support implementation of digital project-management and reporting tools. • Participate in developing Urbano Disegni's technology-enabled project delivery platform. • Identify opportunities for automation and continuous process improvement.Candidate Profile.Qualifications.
