About the Role

We are working with a medical device manufacturer based in Longford who is seeking a Purchasing and Customer Service Specialist to join their team. This role is a key link between customers, suppliers, production, logistics, and internal departments, ensuring service levels, inventory targets, and cost efficiency are maintained.

You will manage day-to-day purchasing activities and customer order administration in equal measure, with additional responsibility for freight documentation on air and ocean shipments.

Key Responsibilities

Customer Service

• Manage order confirmations, dispatch notes, credit notes, invoices, and shipping documents
• Resolve issues relating to damaged/inferior products, returns, and invoice discrepancies
• Maintain strong internal communication across departments

Purchasing & Procurement

• Source materials, goods, and services in line with company requirements
• Place and track purchase orders; manage day-to-day purchasing for assigned commodities/suppliers
• Support supplier negotiations and cost-saving initiatives
• Maintain inventory levels in line with targets and expedite critical materials to avoid production interruptions
• Manage supplier communications regarding forecasts and demand changes
• Ensure ERP data accuracy (lead times, pricing, MOQ, supplier details)
• Maintain BOM accuracy for assigned products
• Manage and negotiate non-stock purchases
• Support audits and supplier compliance documentation
• Track Purchasing KPIs
• Manage freight shipment paperwork (air/ocean import/export, SAD documentation)

What We're Looking For

• Diploma/Degree in business or related field preferred; equivalent experience also considered
• Minimum 2 years' experience in a similar purchasing, customer service, or inventory role
• Self-motivated with the ability to work independently
• Strong organizational and problem-solving skills
• Excellent communication skills
• Ability to manage multiple tasks and meet deadlines
• Capable of mentoring or training other purchasing agents
