Job Summary
The Purchasing and Customer Service specialist is responsible for managing customer orders and supporting procurement activities to ensure the uninterrupted supply of materials and services required for business operations. The role acts as a key link between customers, suppliers, production, logistics, and internal departments to maintain service levels, inventory targets, and cost efficiency.

- Diploma / Degree in business or related field preferred but knowledge and experience of this role will also be considered.
- Experience in purchasing / Customer service and/or inventory preferred.
- Ability to be self-motivated and work independently.
- Ability to handle multiple tasks and meet deadlines.
- Problem solving and organizational skills.
- Excellent communication skills.
- Ability to mentor or train other purchasing agents.
- Minimum 2 years’ experience in a similar role.
Essential Duties & Responsibilities / Customer Service / Purchasing
- Customer Service and all related administration tasks.
- Order confirmations, dispatch notes, credit notes, invoices and shipping documents, other duties will be developed with your manager.
- Source materials, goods and services in line with company requirements.
- Manage day-to-day purchasing activities for assigned commodities/suppliers.
- Place and track purchase orders.
- Maintain strong communication with suppliers; resolve issues in a timely manner.
- Support supplier negotiations and cost‑saving initiatives.
- Maintain inventory levels in line with targets.
- Expedite critical materials to avoid production interruptions.
- Manage supplier communications regarding forecasts and demand changes.
- Ensure ERP data accuracy (lead times, pricing, MOQ, supplier details).
- Support audits and supplier compliance documentation.
- Identify savings opportunities and secure the best pricing options.
- Responsible for adherence to Purchasing policies and procedures.
- Execute buying strategies as defined by Supply Chain Manager.
- Maintain the accuracy of the BOM related to their products.
- Internal communication with different departments.
- Assist in resolving issues regarding damaged/inferior products, returns, invoice discrepancies, etc.
- Work with Management requestors within the plant on any urgent/expedited situations.
- Proactively mitigate any potential problems in the supply of materials.
- Manage and negotiate all non‑stock purchases.
- Determine and track Purchasing KPIs.
- In charge of freight shipments air/ocean import/export paperwork, SAD docs, etc.
