The Receptionist/Customer Service will be responsible for handling front office reception and administration duties, including greeting guests and offering them a beverage, answering phones, handling company inquiries, and sorting and distributing incoming mail, and posting outgoing mail and parcels. The Receptionist/Customer Service will provide assistance to job candidates, guests, and obtain information from walk-in customers.
As the Receptionist/Customer Service , you will report directly to the Office Manager and you will be the first point of contact for the entire organization, which requires a welcoming phone manner, positive attitude, and polished, professional appearance. Essential Duties and Responsibilities: · Live Our Values! · Understand Total Fire Protection’s strategy, business, and growth initiatives · Professionally answers telephones and directs the caller to the appropriate staff · Will transfer a caller to a staff member’s voice mailbox when the associate is unavailable · Provides callers with information such as company address, location, fax numbers, website, and other related information · Will take and retrieve messages for various personnel · Greet guests in a professional, friendly, hospitable manner · Receives, sorts, and forwards incoming mail · Signs for and sorts for distribution UPS and FedEx packages · Open and close reception area · Monitor email boxes and distribute emails accordingly · Provide general administrative and clerical support as requested · Assist users sending faxes and retrieve and properly disseminate incoming faxes. · General office administration. · Other responsibilities and tasks, as assigned. Requirements: · Polished and professional appearance. · Able to work assigned hours, arriving on time and remaining on the job through the shift. Shift can be 8am to 4pm or 10 am to 6pm.
Able to cover 8am to 6pm when necessary. · Proven front office experience handling high incoming call volume. · Pleasant and positive telephone manner. · Represent Total Fire Protection professionally at all times. · Calm under pressure. · Discretion to maintain confidential information. · Capability to function independently in a team environment with little supervision. · Proficiency in Microsoft Office including Outlook, Word, and Excel. · Bilingual Spanish speaker a plus.
