You’ll keep our Naperville and Chicago offices running like a well-oiled machine, while also supporting a few of our senior leaders with scheduling, travel, and general admin magic.
This role is perfect for someone who thrives in fast-paced environments, enjoys creating order and clarity in dynamic environments, and finds joy in making other people’s lives easier. This is a hybrid role—expect to be onsite 1–2 days a week in either Naperville or Chicago, and remote the rest of the time. What You’ll Be Doing: Own the vibe: keep our offices welcoming, stocked, and running smoothly Be the first face guests see and the friendly point of contact for team needs Coordinate onboarding logistics: desks, laptops, welcome kits, badge access, and more Manage office supplies, snacks, swag, mail, deliveries, and vendor relationships Plan and coordinate in-office lunches, team events, and culture-building moments Provide executive assistant support to senior leaders: Manage calendars and schedule meetings Book and coordinate travel (flights, hotels, cars, etc.) Keep things on track with reminders, agendas, and follow-ups Pitch in with light financial admin: check processing, supply orders, expense tracking Jump into ad hoc projects across People Ops, IT, and beyond—you’re a trusted utility player About You: You’ve got a winning personality—approachable, positive, and easy to work with You bring a hospitality mindset to everything you do, whether it’s greeting a visitor or managing a last-minute calendar shift You’re a natural organizer with an eye for detail and a get-it-done attitude You love supporting people and making their day easier You can juggle a dozen tabs—literally and metaphorically You’re just as comfortable scheduling a leadership offsite as you are stocking the snack drawer You communicate clearly, kindly, and with a little flair You can travel between Naperville and Chicago weekly (don’t worry, we’ve got good coffee at both) What You Bring: 2+ years in office admin, coordination, or operations—bonus points for EA experience Calendar and travel management chops (you’ve booked more flights than United) Proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets, etc.) Familiarity with onboarding, basic IT troubleshooting, and office logistics Comfortable with light finance tasks (invoices, expenses, ordering) Compensation
