The Role
Geographically based in San Francisco, you will be the linchpin of our US program operations, ensuring the smooth delivery of our Talent Agent model and continued success of our San Francisco Launch program.
Our SF site is the global hub for EF founders and companies from across the world. As part of the Talent Agent model we bring together exceptional individuals who live together in our SF House and use our Office Hub. Additionally, the SF site exists to enable EF-funded companies to fundraise from Bay Area investors through the fundraising program (called ‘SF Launch’).
Joining the US operations team, you will be pivotal to our mission to enable founders to have the best possible experience and play an integral role in building EF’s reputation as one of the best places to find early-stage companies.
Please note: This role requires you to be able to work up to five days a week at our San Francisco office and be open to travel across the US.
What You’ll Do
1. Manage our SF office, establishing an environment for founders and the EF team to thrive
You will take complete ownership of proactively managing the "behind the scenes" operations of our beautiful office space in the heart of San Francisco, taking pride in how we present the office to investors and founders. You will own managing office health and safety, equipment audits and ordering office supplies.
2. Diary and expense management - supporting our Senior Leadership team to streamline and optimize their time
Working closely with Senior Leadership, you will play a crucial role in ensuring that things run to plan and to time. You will have ownership of key calendar coordination tasks for Senior team members, managing schedules intelligently and supporting them to optimize their time.
3. General Admin / operational support
You will be the consistent thread across EF’s US operations, working with both the Talent Agent and SF Launch teams. The teams will rely on you to maintain the highest standards and set the standard for organizational excellence. Tasks might include
- Own IT operations (e.g. wifi troubleshooting)
- Manage all internal tooling, ensuring that data is securely stored across our core tech stack (Salesforce and Airtable)
- Event support - we run frequent events out of our San Francisco office, ranging from small fireside chats to larger demo days and dinners
4. Operational management of the EF Founder Residency
Identify opportunities for improving processes around our Residency program and act as the main day to day contact for Founders staying at the house.
Who you are
- Executive support, office management or event delivery experience: 1-2+ years in an operational, events or executive support role
- Tech-Savvy: Proficient in tools like Airtable, Slack, and Salesforce, with experience in creating automations. Curiosity and willingness to learn-on-the job will be considered, if you don’t have experience.
1. You thrive when making “order from chaos”. You like to bring structure and organization to any environment you are part of. You thrive being in a supporting role and take pride in enabling teams to operate at the highest level. You have a “can do” attitude and desire to “get things done”, whilst maintaining a keen attention for detail.
2. You are looking for a fast-paced work culture and flourish in environments with high levels of ambiguity and change. You are able to synthesize large amounts of information quickly and accurately and your approach to problem-solving is calm, methodical and determined. If the answer isn’t obvious, you are not afraid to think outside of the box and think on your feet.
You enjoy wearing “many hats” and juggling priorities. You are a confident decision-maker who craves ownership.
3. You are a clear communicator, and build trusted relationships to get the best out of those you work with. You have a high EQ and appreciate the importance of being able to evolve your working style to establish effective ways of working. You have a team player mentality and understand the importance of keeping stakeholders informed and your colleagues trust you to “make things happen”.
4. You like the idea of operating in a small, high-performing team and embrace having a varied workload. You are not phased by new ideas, concepts or processes but instead thrive when given the opportunity to learn new skills and ways of working from those around you. You are adept at context switching and able to prioritize your own workload.
