Job Title: Tender & Proposals AdministratorSalary: £30k plus DOE Reporting To: Pre-Construction DirectorBusiness Unit: Pre-ConstructionLocation: Preston (Office-Based)Hours: 40 hours per week, Monday - Thursday: 08:00 - 17:00 (45-minute lunch) & Friday: 08:00 - 15:30 (30-minute lunch)Contract: PermanentCompany OverviewA well-established and reputable organisation delivering civil engineering and infrastructure projects across multiple sectors throughout the UK. The business operates within a collaborative and quality-driven environment, focused on securing sustainable and profitable workstreams.Role PurposeTo support the successful coordination and delivery of tender submissions within the Pre-Construction team.This role provides essential administrative and document control support, ensuring that all tender documentation is accurate, compliant, and submitted in line with client requirements and deadlines.Main ResponsibilitiesTender Administration & CoordinationProvide administrative support to the Pre-Construction team across all tender and framework activitiesCoordinate tender documentation from initial receipt through to submission and post-submission stagesMaintain tender registers, trackers, submission schedules, and pipeline informationMonitor opportunity trackers and assist with identifying suitable opportunities for reviewSupport the preparation and submission of PQQs, ITTs, and framework applicationsDocument Management & ComplianceCompile, format, and quality-check tender submission documents to ensure accuracy and consistencyManage electronic filing systems, ensuring records are well maintained and easily accessibleUpload and download documents via procurement portals and e-tendering systemsMaintain libraries of company policies, accreditations, and standard submission contentEnsure all documentation meets required compliance and client specificationsStakeholder CoordinationLiaise with internal teams including estimators, planners, and bid writers to obtain information for submissionsCoordinate input from external partners and supply chain contactsMonitor clarification deadlines and support the management of client queries and responsesArrange meetings, workshops, interviews, and presentation logisticsAdministrative SupportAdminister central team inboxes, prioritising and distributing communications effectivelyAssist with the preparation of supporting documents such as CVs, case studies, and project referencesSupport document control processes including revisions, updates, and distributionAssist with general administrative duties across the Pre-Construction functionContribute to lessons learned and feedback processes following submissionsSkills & KnowledgeEssentialStrong administrative background with experience in document management or coordination rolesExcellent written communication and document formatting skillsHigh level of accuracy and attention to detailStrong organisational and time management skills with the ability to manage multiple deadlinesProficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)Ability to work collaboratively within a team environmentDesirablePrevious experience within construction, civil engineering, or infrastructure sectorsExperience using e-tendering platforms or document management systemsUnderstanding of tendering or pre-construction processesAwareness of handling confidential or commercially sensitive informationAttitudes & BehavioursPositive, proactive, and dependable approach to workStrong team player with a collaborative mindsetProfessional and approachable with strong interpersonal skillsAbility to remain organised and calm under pressureHigh level of integrity and confidentialitySelf-motivated with a willingness to learn and developFlexible and adaptable to changing prioritiesStrong sense of ownership with a focus on delivering high-quality workWorking EnvironmentOffice-based role within a collaborative Pre-Construction teamFast-paced environment with multiple concurrent deadlinesRegular interaction with internal departments and external stakeholdersSummaryThis role offers an excellent opportunity for an organised and detail-focused administrator to contribute to a high-performing Pre-Construction team.
