Job Description
We are seeking a detail-oriented and highly organized US Payroll & Accounts Payable Specialist to manage end-to-end payroll processing for US employees and oversee Accounts Payable operations. The ideal candidate will ensure accurate payroll execution, compliance with federal and state regulations, timely vendor payments, account reconciliations, and effective coordination with internal stakeholders and external service providers.
Key Responsibilities
US Payroll Responsibilities
- Process bi-weekly and Weekly payroll for US-based employees.
- Ensure accurate calculation of salaries, wages, bonuses, commissions, overtime, and deductions.
- Validate employee timesheets and attendance data before payroll processing.
- Manage payroll changes including new hires, terminations, salary revisions, and benefits deductions.
- Maintain payroll records and employee master data.
- Coordinate with payroll service providers and HR teams for payroll accuracy.
- Ensure compliance with Federal, State, and Local payroll regulations.
- Support payroll tax filings and year-end activities, including W-2 and related reporting.
- Respond to employee payroll inquiries and resolve discrepancies promptly.
- Prepare payroll-related reports for management and audits.
- Process vendor invoices accurately and timely.
- Perform three-way matching of Invoices.
- Verify coding and approvals before processing payments.
- Schedule and execute vendor payments through ACH, Wire Transfer, and Check payments.
- Reconcile vendor statements and investigate discrepancies.
- Maintain vendor master data and ensure compliance documentation is current.
- Monitor AP aging reports and manage outstanding liabilities.
- Support month-end and year-end closing activities.
- Assist with audits by providing required AP documentation.
Required Qualifications
- Bachelor’s degree in accounting, Finance, Commerce, or related field.
- 3–7 years of experience in US Payroll and Accounts Payable functions.
- Strong understanding of US payroll regulations, payroll taxes, and compliance requirements.
- Experience processing payroll using payroll systems such as ADP
- Strong knowledge of accounting principles and AP processes.
- Advanced proficiency in Microsoft Excel.
