We are looking for an Administrative Assistant to support daily business operations, coordinate administrative activities, and ensure efficient communication across teams. This role is critical in maintaining organized workflows and enabling smooth day-to-day operations.
Role Overview
As an Administrative Assistant at Scry AI, you will be responsible for managing schedules, maintaining records, coordinating meetings, and providing administrative support to internal teams. You will work closely with leadership and cross-functional teams to ensure operational efficiency and effective communication.
This role is ideal for someone who is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.
Key Responsibilities
Administrative & Office Support
- Manage calendars, schedules, and appointments
- Coordinate meetings, travel arrangements, and administrative activities
- Handle correspondence, emails, and internal communications
Documentation & Record Management
- Maintain organized records, files, and documentation
- Prepare reports, presentations, and meeting notes
- Ensure accurate documentation and version control
Coordination & Communication
- Support communication across departments and stakeholders
- Coordinate follow-ups, task tracking, and administrative workflows
- Assist with onboarding and internal coordination activities
Operational Support
- Provide day-to-day administrative support to leadership and teams
- Assist in organizing company events, meetings, and internal initiatives
- Support procurement and general office administration when required
Process Management & Improvement
- Follow established administrative procedures and policies
- Identify opportunities to improve administrative workflows
- Ensure confidentiality and professionalism in handling sensitive information
Required Qualifications and Skills
- Experience in administrative support, office administration, or executive assistance
- Strong organizational and multitasking abilities
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office, Google Workspace, or similar productivity tools
- Strong attention to detail and time management skills
- Ability to manage confidential information with professionalism
