Job Description
This role sits within a newly established infrastructure delivery platform responsible for large-scale, multi-stage energy and infrastructure projects currently under development and construction.
The Document Controller will play a key role in establishing, structuring, and embedding document control systems and processes from project inception, bringing organisation and consistency to a fast-moving, site-based environment. This role is suited to an experienced professional who can operate autonomously and drive best-practice document management across the project lifecycle.
Key Responsibilities
- Establish, structure, and continuously improve document control systems and processes across the project.
- Administer and configure the Procore document management system, including workflows, access controls, and document structures.
- Lead the organisation and standardisation of existing documentation, including reviewing and restructuring legacy files.
- Ensure all documentation is accurately registered, version controlled, and maintained in line with project standards and governance.
- Monitor document workflows (submissions, reviews, approvals) and ensure timely processing and proactive follow-up.
- Maintain document registers, transmittals, and tracking logs with high accuracy.
- Generate regular reports on document status, outstanding actions, and workflow performance.
- Provide training, guidance, and ongoing support to project team members on document control processes and systems.
- Act as the central point of coordination for document management across multiple disciplines.
- Support general project administration activities as required (approx. 20% of role).
- Provide oversight and guidance to junior administrative support during peak periods.
Experience & Skills Required
- 5-7+ years of experience in document control within infrastructure, construction, or energy projects.
- Proven experience setting up and embedding document control systems and processes from the ground up.
- Strong hands-on experience using Procore, including system configuration and workflow setup.
- Deep understanding of document control workflows, governance, and industry best practices.
- Demonstrated ability to bring structure to unorganised or legacy documentation environments.
- Strong organisational skills with exceptional attention to detail.
- Proficiency in Microsoft Office (Excel, Word, Outlook).
- Strong communication and stakeholder management skills across multi-disciplinary teams.
- Ability to work autonomously and self-manage in a fast-paced, site-based environment.
